  • Responsibilities

    The Client Intake Specialist is responsible for surveying prospective clients, gathering details about their matter, managing new client onboarding and data entry, and assisting our Client Coordinators with booking and managing appointments. The successful Client Intake Specialist will have customer service experience, excellent communication skills, and a passion for helping others. This position requires that the Client Intake Specialist be extremely detail-oriented, organized, critical about accuracy, spelling and grammar and possess the ability to prioritize and follow up. This is a very fast paced environment, and the Client Intake Specialist must be able to multitask and manage a voluminous caseload. This role requires a self-starter who is willing and open to learning new skills as well as taking initiative and being proactive.

    ** Essential Duties and Responsibilities, including but not limited to:**

    • Evaluating prospective client inquiries and phone calls.
    • Setting appointments for potential clients.
    • Processing new client matter information from initial contact through engagement before handing off to legal team or billing department, including creating matters in practice management software, identifying conflicts and following up to clear any conflicts, drafting and sending representation agreements and other documents as necessary to ensure the client engagement process runs smoothly.
    • Reporting to the Client Intake Manager and collaborating with JKZ personnel to ensure an exceptional level of service to our internal and external clients.
    • Performing miscellaneous administrative tasks as needed, including document creation, report creation, research, and data management.

    ** Requirements:**

    Education and Experience

    • Previous customer service or sales experience required.
    • High school diploma or equivalent required; Associates degree preferred.
    • Practice and document management software experience preferred, including CRM software.
    • Previous legal experience in a law firm preferred.

    Knowledge, Skills & Abilities

    • Possess outstanding communication skills and sense of empathy.
    • Comfortable on camera for company and client-related meetings.
    • Service focused with an understanding of client engagement and customer service.
    • Proficiency with Adobe Acrobat and Microsoft Office Suite.
    • Solid command of English including excellent spelling, grammar, punctuation, form and style;
    • Organized and detail oriented.
    • Ability to communicate clearly and work well with a team and on your own.
    • Positive attitude, intellectually curious, dependable and motivated.
    • Solid data entry, document management, and computer skills.
    • Bilingual preferred.
