As our Client Service Specialist, you’ll be the first point of contact, the key to making a memorable first impression, and the cornerstone of our client relationships. Your Role: The Keeper of All Things Front of House This is a position that balances the art and science of outstanding customer care. It requires the right combination of empathy, communication skills, attention to detail, and technical know-how. You'll play an integral role in creating memorable client experiences and helping ensure the Firm’s metrics and goals are met. Responsibilities: Duties include, but are not limited to the following: • Reception: Be the welcoming presence that our clients first encounter, both in person and over the phone. • Screening Potential New Clients: Identify client needs and ensure they are directed to the appropriate legal services. • Selling Legal Services: Confidently present our services to potential clients, ensuring they understand the value we offer. • New Client Intake: Handle all aspects of client intake, ensuring a smooth and professional process. • Data Entry & Reporting: Keep our database accurate and up to date, reporting intake metrics to the CEO and Director of Operations. • Client Hospitality: Ensure that our clients feel comfortable and supported throughout their experience with us. • Scheduling & Calendar Management: Manage appointments and schedules with precision, avoiding conflicts and maximizing efficiency. • Database & Client Relationship Management: Maintain and organize client information to support ongoing relationships. • Lobby Maintenance: Keep our lobby welcoming and professional. • Mail Management: Handle incoming and outgoing mail and packages with care. Qualifications: Who We’re Looking For:Experience Matters: You have previous experience in a law firm, or you've honed your skills in a high-end customer service or luxury sales environment. • Connect and Listen: You understand the art of active listening and can connect with people on a personal level, making them feel heard and valued. • Sales Savvy: You have a basic understanding of sales techniques and can confidently discuss our services with potential clients. • Data Guru: You know that good, clean data is the backbone of any successful operation and take pride in your data entry skills. • Tech Enthusiast: You thrive on checklists and love using technology to maximize efficiency and deliver results.
