    Job Title: PT Client Services Representative – looking for PT but could go FT in the future for the right fit.

    Job Description: We are seeking a part-time receptionist who shares our mission of excellence and warmth. The ideal candidate will be friendly, professional, and passionate about providing top-notch service to our clients and their pets.

    Key Responsibilities:

    Greet clients and pets upon entering the hospital.

    Ensure the reception area, lobby, and exam rooms are clean and odor-free.

    Verify and update addresses and phone numbers on medical records.

    Weigh pets at each hospital visit and record the information in their medical files.

    Schedule appointments and surgeries according to hospital policy.

    Answer phone calls in a friendly and professional manner.

    Record all medical information, including requests and communications by clients and referring veterinary hospitals, doctors, and other staff in medical records.

    Call to confirm next-day appointments and follow up with hospitalized and surgical patients.

    Properly address the needs of patients with acute symptoms (triage emergencies).

    Provide routine instructions to clients and prefilled prescription instructions

    Prepare invoices, collect, and process payments.

    Explain all invoices in detail to clients.

    Balance cash and reconcile credit at the end of each day/shift.

    Regularly update the client information area in the hospital.

    Review charts of all discharged patients for completeness, reminders and follow up.

    Maintain the appointment schedule.

    Receive clients, out-patients, animals to be euthanized, and emergencies.

    Retrieve, update, and file patient records. Obtain client consent forms and record them in the computer.

    Act as a client liaison throughout the visit, ensuring waiting times are kept to a minimum and staff attends to treatment requests and requests for information. Communicate with staff and clients to ensure workflow is completed.

    Perform other duties as assigned.

    Qualifications:

    Excellent communication and interpersonal skills.

    Ability to multitask and handle a fast-paced environment.

    Strong organizational skills and attention to detail.

    Previous experience in a veterinary or medical setting is preferred but not required.

    Passion for animals, providing exceptional client care and teamwork.
