Role Overview
We are seeking a Client Services Specialist to oversee client administrative service needs and provide essential support to our Financial Services and Portfolio Management departments. This role requires excellent organization and communication skills, attention to detail, and the ability to manage client relationships effectively.
Key Responsibilities
Client Services
· Be a point of contact for all client service requests
· Schedule and coordinate client meetings, including preparing agenda and written client follow-up reports.
· Prepare engagement and compliance documents for new client onboarding.
· Facilitate account applications and asset transfers.
· Maintain and manage client data, ensuring timely updates and communication.
· Respond to client inquiries promptly, coordinating with relevant teams.
· Utilize CRM and financial systems effectively (Redtail CRM, Fidelity).
· Monitor and maintain client account activities, including deposits, transfers, and withdrawals.
· Handle required minimum distributions (RMDs) for eligible clients.
Company Services
· Provide administrative support for financial and investment services.
· Assist with portfolio management and financial planning departments.
· Participate in company management and cross-training initiatives.
· Coordinate client engagement activities.
· Support additional administrative tasks as assigned.
Qualifications & Skills
· Strong organizational and communication skills.
· Experience with financial services, client relations, and administrative roles.
· Proficiency in financial and CRM systems (Fidelity, Redtail CRM preferred).
· Ability to work collaboratively in a financial environment.
Experience
· 3-5 years of experience in financial services, client management, or a related field.
· Experience in account management, banking, brokerage, financial planning, or investment advisory is often preferred.
