We are seeking a dedicated and compassionate Clinic Coordinator to join our team. In this role, you will work under the supervision of the Clinic Director and CEO to coordinate a team of Therapists, Instructors, and Technicians in implementing behavior therapy programs and other services for individuals with developmental disabilities, autism spectrum disorders, and other behavioral challenges. This position focuses on client scheduling, team credentialing, and communication with clients and their caregivers, requiring patience, empathy, and a commitment to improving lives.
Key Responsibilities:
Operational Support:
Report to the Clinical Director and COO to support daily clinic operations.
Assist in client intake procedures, including benefits verification and insurance filing.
Administrative Tasks:
Scheduling and Coordination:
Create client session schedules ensuring optimal utilization of Behavior Technician (BT) and Registered Behavior Technician (RBT) hours using lean thinking methodology.
Find substitutes for staff absences and update forecasts weekly, communicating important staffing information to the Clinic Director and COO.
Compliance and Credentialing:
Verify credentials of all providers and submit requests for credentialing with Cube.
Maintain awareness of regulatory compliance with federal and state laws, adhering to professional standards set by the Behavior Analyst Certification Board (BACB).
Maintain accurate client records, including contact information, birthdays, allergies, and accommodation requirements.
Assist the Financial Administrator in tracking insurance payments, status of denials, and fee scheduling.
Client and Caregiver Support:
Serve as the primary contact for clients and caregivers, addressing inquiries and concerns promptly and professionally.
Facilitate communication between caregivers and ABA therapists, ensuring clear communication regarding treatment plans and progress.
Assist caregivers in understanding and navigating insurance benefits and coverage for ABA services.
Provide emotional support and encouragement to families, acting as an empathetic resource.
Relay any scheduling changes to clients and caregivers in a prompt and professional manner.
Qualifications: Required: ○ High school diploma or equivalent. ○ Excellent communication and interpersonal skills, with the ability to build rapport with clients and their caregivers. ○ Ability to work independently and collaboratively within a multidisciplinary team. ○ Strong understanding of clinical billing, scheduling, and record keeping. ○ Commitment to upholding ethical standards and maintaining client confidentiality. ○ Flexibility to adapt to changing priorities and client needs. ○ Ability to pass background checks and meet other employment requirements. Preferred: ○ Bachelor's degree in psychology, education, or a related field. ○ Previous experience working with individuals with developmental disabilities, autism spectrum disorders, or behavioral challenges. ○ Experience working with the Jewish community and diverse age groups. ○ Proficiency in using technology and software for data collection and analysis. ○ Prior experience with Theralytics.
