Clinical Back-Office Coordinator
Position Title: Clinical Back-Office Coordinator
Reports To: Director / Administrator
Risk Level for Bloodborne Pathogens: Limited
Are you a master organizer with a passion for precision and a heart for healthcare? We're looking for a Clinical Back-Office Coordinator who thrives on keeping operations smooth, schedules sharp, and compliance tight. This is more than a desk job—it’s a critical support role at the center of patient care and agency operations.
You’ll be the backbone of our office—overseeing daily functions that keep our clinical and administrative gears moving. From managing employee schedules to performing hospice pre-bill audits, you’ll touch nearly every part of our operation. This is a fast-paced role where your attention to detail and multitasking skills will shine.
Manage day-to-day office operations, ensuring everything from payroll to supplies is on point
Maintain and audit patient records to ensure compliance and accuracy
Track in-service hours, assign staff trainings, and keep evaluations and licenses up to date
Be the friendly, helpful face of the office—answering calls, greeting guests, and assisting with inquiries
Coordinate the Director’s calendar, set schedules, and keep the office flowing smoothly
Monitor patient admission, discharge, and certification timelines
Support audits, strategic planning, emergency preparedness, and quality assurance
Assist with both full-time and part-time payroll
Communicate with multiple departments to keep operations aligned and information current
High school diploma or equivalent (college experience a plus!)
Proven experience as a coordinator, office manager, or administrative lead—preferably in healthcare
A knack for organization, strong record-keeping skills, and a polished, professional communication style
Light secretarial skills and a calm, clear telephone manner
Ability to handle confidential information with integrity and discretion
Confidence using PCs, calculators, and multi-line phones
Fast-paced and deadline-driven
Primarily office-based, but occasional travel to Nogales or other branches may be required
Some lifting of office files and documents
Regular interaction with clinical and administrative teams
You’ll be a trusted gatekeeper of sensitive patient and personnel data, working closely with leadership and frontline teams to ensure everything stays compliant, efficient, and patient-focused.
Ready to step into a critical support role in a mission-driven organization? We’d love to hear from you.
