Step Into a Vital Role That Keeps Everything Running

Are you a master organizer with a passion for precision and a heart for healthcare? We're looking for a Clinical Back-Office Coordinator who thrives on keeping operations smooth, schedules sharp, and compliance tight. This is more than a desk job—it’s a critical support role at the center of patient care and agency operations.

    What You’ll Be Doing:

You’ll be the backbone of our office—overseeing daily functions that keep our clinical and administrative gears moving. From managing employee schedules to performing hospice pre-bill audits, you’ll touch nearly every part of our operation. This is a fast-paced role where your attention to detail and multitasking skills will shine.

    • Manage day-to-day office operations, ensuring everything from payroll to supplies is on point

    • Maintain and audit patient records to ensure compliance and accuracy

    • Track in-service hours, assign staff trainings, and keep evaluations and licenses up to date

    • Be the friendly, helpful face of the office—answering calls, greeting guests, and assisting with inquiries

    • Coordinate the Director’s calendar, set schedules, and keep the office flowing smoothly

    • Monitor patient admission, discharge, and certification timelines

    • Support audits, strategic planning, emergency preparedness, and quality assurance

    • Assist with both full-time and part-time payroll

    • Communicate with multiple departments to keep operations aligned and information current

    What You Bring:

    • High school diploma or equivalent (college experience a plus!)

    • Proven experience as a coordinator, office manager, or administrative lead—preferably in healthcare

    • A knack for organization, strong record-keeping skills, and a polished, professional communication style

    • Light secretarial skills and a calm, clear telephone manner

    • Ability to handle confidential information with integrity and discretion

    • Confidence using PCs, calculators, and multi-line phones

    Working Conditions:

    • Fast-paced and deadline-driven

    • Primarily office-based, but occasional travel to Nogales or other branches may be required

    • Some lifting of office files and documents

    • Regular interaction with clinical and administrative teams

    Why This Role Matters:

You’ll be a trusted gatekeeper of sensitive patient and personnel data, working closely with leadership and frontline teams to ensure everything stays compliant, efficient, and patient-focused.

Ready to step into a critical support role in a mission-driven organization? We’d love to hear from you.
