  • Responsibilities

    ****We are looking for a reliable Clinical Office Administrator/Office Coordinator. This position is responsible for managing office communications, administrative tasks/facilitating key tasks and procedures with the highest level of confidentiality to ensure the rest of the staff has adequate support to work efficiently. The tasks of the clinical office administrator/office coordinator will include maintaining schedules, incoming and outgoing calls, emails, faxes and mail, and maintaining office records and supplies. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures the smooth running of our company’s offices and contributes to driving sustainable growth.

    Responsibilities

    • Coordinate office activities and operations to secure efficiency and compliance with company policies. Follow office workflow procedures to ensure maximum efficiency
    • Greet and assist visitors when they arrive at the office
    • Manage phone calls and correspondence (e-mail, letters, packages etc.)
    • Assist staff in managing schedules/appointments, etc.
    • Create and update records and databases with client, financial and other data
    • Maintain files and records with effective filing systems
    • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
    • Monitor office supplies inventory and place orders
    • Submit timely reports and prepare presentations/proposals as assigned
    • Assist colleagues whenever necessary
    • Monitor office expenditures and handle all office contracts (rent, service etc.)
    • Support budgeting and bookkeeping procedures
    • Assist in vendor relationship management

    Requirements

    • High school diploma; AS, BSc/BA in office administration or relevant field is preferred
    • Proven experience as an office administrator, office coordinator, office assistant or relevant role. Qualifications in secretarial studies will be an advantage
    • Experience in customer service will be a plus
    • Proven confidentiality in all aspects of the position
    • Reliable with patience and professionalism
    • Outstanding verbal and written communication and interpersonal abilities
    • Excellent organizational skills, with the ability to prioritize and multi-task
    • Familiarity with office management procedures
    • Excellent knowledge of MS Office and office management software, and office equipment
    • The employee may be required to lift and move up to 25 pounds
    • The employee may need to drive occasionally

    Job Types: Full-time

    Salary: $42,000 - $52,000 annually

    Schedule:

    • Monday to Friday 8am - 5pm

    Work Location: In person
