Position Summary: The Collections Coordinator Specialist is responsible for the accurate management of tenant accounts, including posting late fees, processing payment arrangements, handling communication with owners and tenants, and managing eviction procedures. This role ensures that property management collections processes are executed efficiently and in compliance with legal and organizational policies.
Key Responsibilities:
Accounts Management:
Post late fees to tenant accounts promptly and accurately.
Record and monitor payment arrangements and ensure timely follow-up for compliance.
Maintain accurate records of financial transactions in property management software.
Communication:
Serve as the primary point of contact for tenants and property owners regarding payment status and account inquiries.
Address and resolve tenant payment disputes professionally and in accordance with company policies.
Provide regular updates to property owners on collection activities and account statuses.
Eviction Processing:
Prepare and file eviction paperwork in a timely and accurate manner.
Ensure compliance with local, state, and federal laws regarding eviction procedures.
Represent the property management company in court for eviction hearings as required.
Administrative Support:
Generate reports on delinquent accounts and collection activities.
Maintain organized and secure filing systems for tenant documentation and legal paperwork.
Assist in the development and implementation of collection strategies and policies.
Qualifications:
Education & Experience:
High school diploma or equivalent required; Associate's degree in Business or a related field preferred.
2+ years of experience in property management, collections, or a related field preferred.
Skills & Competencies:
Strong understanding of property management practices and eviction laws.
Excellent communication and interpersonal skills.
High attention to detail and organizational skills.
Ability to handle sensitive and confidential information with discretion.
Proficiency in AppFolio and Microsoft Office Suite.
Other Requirements:
Ability to appear in court for eviction hearings as needed.
Availability to respond to time-sensitive issues related to tenant collections and account management.
Working Conditions: This position involves office-based work and occasional travel to court hearings or property sites. Some flexibility in hours may be required based on court schedules or tenant needs.
