    HL Contractors, Inc. is looking to add a highly motivated Project Administrator to our growing company. We are a commercial General Contractor, and also one of the most respected and widely used performance based interior contractors on a national level serving the retail, food service, and interior contracting markets.     Position Summary:

    The Project Administrator coordinates project documentation and requirements with our clients and subcontractors. Reports to Project Manager.

    Core Responsibilities:

    · Prepare and ensure timely execution of subcontracts

    · Process subcontractor invoices and payments

    · Review project submittals & shop drawings.

    · Track and update insurance certificates from subcontractors and for clients

    · Receive, verify, and process timesheets, mileage reports, and expense reports

    · File certificates, contracts, and invoices

    · Prepare payment applications

    · Subcontractor bid solicitation

    · Assist with accounts payable and receivable

    · Assist with close-out activities for clients

    · Assist Project Managers as needed

    · Cover switchboard as needed

    Qualifications:

    · Experience in the construction industry

    · 3+ years of administrative experience

    · Strong time management/multitasking skills

    · Ability to maintain composure under pressure, and perform in fast-paced environment

    · Detail-oriented approach to problem solving

    · Ability to “do whatever it takes” to get the job done

    · Ability to interface with personnel at all levels

    · Excellent technical, organizational, transactional, and verbal communication skills

    · Strong skills in Outlook, Word, Excel, and Construction Management Software

    · Experience with Vista Viewpoint a plus

    · Ability to manage incoming calls and all switchboard functions

    · Provide excellent client service
