We are seeking a detail-oriented and proactive Construction Project Coordinator with a financial background to support the planning, execution, and management of construction projects.
The description below includes but is not limited to: • Sending “Invitations to Bid” and following up to determine status and ensure bids are in on time. Maintain Bidder’s Lists for multiple projects. • Source Subcontractors and Suppliers in different regions, based on project location, as directed by PM’s. o Contact Suppliers to determine pricing, lead times, delivery and payment options. o Track progress to ensure on time delivery to proper locations. • Enter Subcontracts & Subcontract Change Orders, as directed into Sage 300, issue to subcontractors with Insurance Requirements. o Set up Vendors/subs in Sage o Follow up to ensure appropriate paperwork is received. Keep Insurance certificates and signed subcontract information updated in Timberline and on the server. • Enter Purchase Orders as directed into Sage 300, follow up with suppliers and work with accounting to ensure payments are made as required to facilitate delivery • Contact Subs/Suppliers as required to schedule/reschedule as needed • Procore: maintain & organize subcontract documentation • Maintain Overall Estimating Tracking Report • Arrange calendar/zoom invites for bid reviews and other meetings, as directed • Send plans to printers to have print and sent to the field • Other duties as assigned
Qualifications:
4+ years of experience in commercial construction coordination or project administration.
Strong understanding of construction financials, budgets, and cost controls.
Proficiency in construction management software (e.g., Procore) and financial tools (e.g., QuickBooks, Sage 300, or similar).
Excellent organizational, communication, and problem-solving skills.
Ability to multitask and manage competing priorities in a fast-paced environment.
Required Skills:
Experience working on commercial construction projects.
Familiarity with subcontract management and change order processes.
Experience with Purchasing & Purchase Orders
Experience with Sage 300 (Timberline)
