    Job Description

    ACCOUNTS PAYABLE SPECIALIST

    SEARCHING FOR A TEAM MEMBER WITH EXPERIENCE IN ACCOUNTS PAYABLE. THE IDEAL CANDIDATE MUST BE ABLE TO MULTI-TASK IN A DYNAMIC WORK ENVIRONMENT AND WORK WELL WITH OTHERS.

     

    JOB REQUIREMENTS:

    • Process invoices for Properties which includes: verifying invoices, checking invoice amount to contract and budget, GL coding, obtaining appropriate approvals and entering in accounting system (Yardi Voyager 7s)
    • Responsible for all Job Costs matters: issuing codes, compliance to internal procedures, variance analysis, budgets, etc.
    • Process recurring payments for monthly contracts, utilities and emergency check requests
    • Processing weekly vendor payments.
    • Matching checks with invoices for weekly mailing and filing all backup as appropriate
    • Working with Property Managers and Asset Managers to research the status of accounts
    • Support Property Managers, and field staff with appropriate training in company policy.
    • Process intercompany invoices.
    • Allocate portfolio invoices to the appropriate Investment Property.
    • Set-up vendors in accounting software included issuing vendor codes, inputting W9 and insurance details on vendor ledgers and ensuring set up is accurate for year end 1099 filings
    • Processes vendor reconciliations.
    • Assists the Executive Team with property expense data.
    • Processes scheduled payment and their respective notification.
    • Assists Supervisor with amounts and dates of pending financial responsibilities.
    • Assist in monthly and year end close
    • Assists with the maintenance and testing of internal controls, accounting policies and audit requests as it relates to the accounts payable functions.

    QUALIFICATIONS

    • Strong Excel skills
    • Excellent verbal and written communication, planning and organizational skills
    • Detail oriented.
    • Conscientious about timeliness of assignments and quality of work product
    • Multi-tasking and prioritization
    • Flexible team player
    • Ability to work independently with little supervision.
    • Must be able to adapt and flex to a changing environment
    • Must be reliable and prompt

    EXPERIENCE:

    • Commercial Real Estate Experience preferred
    • 2-3 years of full cycle A/P
    • Understanding of accounting for coding purposes; capital vs expense, balance sheet vs P&L and account reconciliations
    • Excellent computer skills in the operation and functioning of all programs used by the organization, Microsoft Office (Excel, Word, Outlook, PowerPoint) and Yardi Voyager 6.0
