Job Overview:
The Administrative Assistant provides administrative and clerical support for the Community Services leadership team. This administrative role is pivotal in supporting and assisting the leadership team in developing, maintaining, and implementing current and new programs. The administrative assistant reports directly to the Community Services Director.
Key Responsibilities:
Performs a wide variety of administrative and clerical duties to assist with Community Services Program Operations, from typing documents, preparing spreadsheets, assembling reports, scheduling meetings, assisting with event planning, taking minutes, processing incoming and outgoing mail, answering and returning phone calls, photocopying, faxing, filing, etc.
Manages the program email, answering general inquiries and forwarding information to the appropriate department.
Conserves director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
Provides on-site support to the community services team at assigned marketing and community outreach events.
Assist in administrative tasks related to researching marketing, partnership, and program development opportunities and requirements.
Track and report outreach and marketing efforts, maintaining records of engagements and partnerships.
Assist with the completion and organization of state, county, or insurance required reports and applications for current and future programs.
Process orders of needed office and marketing supplies.
Provide general level organization of program data and communicate with appropriate departments regarding issues and trends as directed.
Completes special projects as assigned by the director.
Qualifications:
Bachelor's degree in a related field such as psychology, human services, healthcare administration, etc.
6 months experience in administrative role, specifically at a healthcare or human services agency.
Knowledge of behavioral health services and resources is preferred.
Effective interpersonal and professional skills when engaging with internal and external professionals, stakeholders and clients.
Strong organizational skills and the ability to manage multiple priorities.
Ability to work independently and as part of a team.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Community work and making a positive impact in underserved areas.
Experience working with diverse populations and understanding of cultural competency.
Familiarity with the local Baltimore community and existing networks.
Successfully pass a criminal background check.
