  • Responsibilities

    Seeking an organized and efficient administrator who has experience in the construction (residential and commercial roofing) industry. Must be proficient in QuickBooks desktop and online, Google, Microsoft/Office 365 platforms, . Duties would entail clerical and administrative tasks in support of ongoing projects and data organization. Communicate with vendor accounts regarding invoices, job accounts and contracted pricing. Responsible for managing the company’s new project contracts, verifying the scope of work and setting up the project for production. Additional responsibilities include various maintenance, multi-family and single family accounts, invoicing, turning in trade payroll, etc. This role requires attention to detail, strong organizational skills, and the ability to collaborate with both internal teams and external clients in the roofing industry. Responsibilities: • Produce forms such as purchase orders, service agreements, change orders, and subcontracts • Coordinate meeting logistics and deliverables such as handouts, and make travel arrangements for the project management team • Provide administrative support to the office manager, project manager, general contractor, and other construction management staff • Perform general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other clerical and administrative tasks for special projects as requested • Field incoming emails and phone calls in a professional manner • Inputting receipts/vendor expenses into QuickBooks. Proficiency in Google Drive (Sheets, Docs, etc), and Office 365 (Excel, Word, etc) is a must. Excellent customer service etiquette and correspondence experience are expected. • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office (Excel, Word). • Familiarity with lien laws, waivers, and construction billing processes (AIA forms preferred). • Excellent communication and problem-solving skills. • Detail-oriented with strong organizational skills. • Ability to work independently and manage multiple tasks under tight deadlines. • Collaborative and proactive mindset. Qualifications: • Three years of experience of administrative experience is necessary - previous administrative duties in a busy construction office is desired • High school diploma is required - additional college such as an associate’s degree or bachelor’s degree is very valuable • Familiarity with the construction industry is desired, but not required • Possess excellent computer skills, especially MS Office -Word, Excel, and Powerpoint • Great organization, time management, and communication skills are vital Compensation: $45,000 - $60,000 yearly
