  • Responsibilities

    We are assisting with the hiring of a highly organized and detail-oriented Construction Administrative Assistant to coordinate and assist with the day-to-day essential activities of the company and President. The ideal candidate will have a strong work ethic, exceptional customer service, and be highly organized.

    Duties and Responsibilities

    • Provide administrative support to the President, office manager, project manager, general contractor, and other construction management staff
    • Provide exceptional customer service by answering phone calls and responding to emails in a timely and professional manner.
    • Act as a point of contact for vendors, subcontractors, and various construction services teams
    • Prepare forms such as change orders, purchase orders, service agreements, and subcontracts
    • Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other administrative tasks for special projects
    • Coordinate meeting logistics and deliverables such as handouts, and making travel arrangements
    • Manage and maintain schedules, including booking appointments and scheduling conference calls
    • Collect and track expenses and reports from team members
    • Prepare monthly expense reports and weekly construction schedules
    • Process invoices, payments, and accurately file applicable supporting documentation
    • Assist with RFP response for construction projects

    Required education, skills, and experience

    • 3+ yrs experience as an Administrative Assistant and/or in Customer Relations (Required)
    • 3+ yrs experience as Construction Administrative Assistant (Preferred)
    • Associate's degree (or equivalent experience) (Preferred)
    • Strong Microsoft Office Suite skills
    • Proficient with QuickBooks Accounting Software
    • Ability to work in a fast-paced office environment.
    • Ability to handle different types of tasks and perform effectively.
    • Strong organizational skills and attention to detail.
    • Strong time management
