We are assisting with the hiring of a highly organized and detail-oriented Construction Administrative Assistant to coordinate and assist with the day-to-day essential activities of the company and President. The ideal candidate will have a strong work ethic, exceptional customer service, and be highly organized.
Duties and Responsibilities
- Provide administrative support to the President, office manager, project manager, general contractor, and other construction management staff
- Provide exceptional customer service by answering phone calls and responding to emails in a timely and professional manner.
- Act as a point of contact for vendors, subcontractors, and various construction services teams
- Prepare forms such as change orders, purchase orders, service agreements, and subcontracts
- Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other administrative tasks for special projects
- Coordinate meeting logistics and deliverables such as handouts, and making travel arrangements
- Manage and maintain schedules, including booking appointments and scheduling conference calls
- Collect and track expenses and reports from team members
- Prepare monthly expense reports and weekly construction schedules
- Process invoices, payments, and accurately file applicable supporting documentation
- Assist with RFP response for construction projects
Required education, skills, and experience
- 3+ yrs experience as an Administrative Assistant and/or in Customer Relations (Required)
- 3+ yrs experience as Construction Administrative Assistant (Preferred)
- Associate's degree (or equivalent experience) (Preferred)
- Strong Microsoft Office Suite skills
- Proficient with QuickBooks Accounting Software
- Ability to work in a fast-paced office environment.
- Ability to handle different types of tasks and perform effectively.
- Strong organizational skills and attention to detail.
- Strong time management
