We are seeking a highly organized and proactive Construction Administrator to support our Project Management Team and Director in executing construction and renovation projects. This role is essential to ensuring project efficiency, financial accountability, and adherence to SIXT's standards.
The Construction Administrator will provide comprehensive administrative support to the Project Management Team and Director, assisting with budget preparation, project tracking, and document management. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
YOUR ROLE AT SIXT
- You provide Administrative Support
- Manage project documentation, including contracts, schedules, permits, and change orders
- Organize and maintain project files, ensuring all records are up-to-date and accessible
- You assist in Budget and Financial Management
- Prepare budget requests and assist in developing project budgets
- Track and monitor project budgets to ensure financial goals are met
- Process purchase orders (POs) and maintain records of approvals and expenditures
- Track, verify, and process invoices, ensuring accuracy and timely payments
- Generate financial reports and provide updates to the Project Management Team and Director
- You manage Communication and Coordination
- Coordinate meetings with internal teams, contractors, and vendors, including scheduling and preparing agendas
- Record and distribute meeting minutes and follow up on action items
- Serve as the point of contact for RFIs, submittals, and other project-related inquiries
- You lead Project Tracking and Reporting
- Monitor project schedules, milestones, and deliverables to ensure timelines are met
- Prepare regular project status reports for review by the Project Management Team and Director
- Assist in resolving issues related to project scope, budget, or timelines.
- You maintain Compliance and Standards
- Ensure projects comply with SIXT's branding, operational standards, and local regulations
- Ensure compliance with SIXT's financial tracking policies and procedures
YOUR SKILLS MATTER
- Experience You have a minimum of 3 years of experience in construction administration or project support, preferably supporting senior leadership
- Education You have a Bachelor’s degree in construction management, business administration, or a related field (preferred)
- Technical Proficiency You are proficient in construction management software (e.g., Procore, Buildertrend) and Microsoft Office Suite (Excel, Word, Outlook), experience with budgeting, purchase order systems, and invoice management, and have familiarity with construction documents, schedules, and industry practices
- Soft Skills You have excellent organizational and multitasking abilities, strong verbal and written communication skills, detail-oriented with strong problem-solving skills,
