As we continue to expand, we are currently seeking a dedicated and detail-oriented Contract Administrator to join our team to help streamline our contract management processes and ensure compliance with company policies and industry standards.

    Position Overview:

    As a Contract Administrator, you will be responsible for managing, reviewing, and maintaining contracts between the company and its clients, as well as subcontracts with vendors, and partners. The ideal candidate will possess strong analytical skills, a solid understanding of contract law, a keen eye for detail, and the ability to manage multiple tasks in a fast-paced environment. You will work closely with the AR Manager, and various internal departments to ensure contract compliance and smooth execution.

    Key Responsibilities:

    • Draft, review, and negotiate contracts with clients, as well as subcontracts with vendors.
    • Ensure all contracts are legally compliant, accurate, and aligned with company policies.
    • Coordinate with internal departments (project managers and upper management) to ensure smooth contract workflows.
    • Assist in resolving any contract-related disputes or issues.
    • Communicate with external vendors, and clients to clarify contract terms and resolve issues.
    • Maintain accurate records of all contracts/subcontracts and related documents.
    • Provide support in contract audits and reporting.
    • Prepare and send approved quotes (Exhibit W’s) for project manager approval and ensure compliance with contract terms.
    • Prepare, process, and track subcontract change orders to ensure they are properly documented and executed.
    • Prepare and issue Job Information Sheets and TEC (Tax Exempt Certificates) forms for relevant subcontracting activities.

    Meetings and Coordination:

    • Attend Project Manager (PM) meetings to provide updates on subcontract status and assist with any queries related to subcontract execution.
    • Maintain and update the Approved Subcontractor List for project managers to ensure they have the latest, accurate information.

    Compliance and Regulatory Documents:

    • Ensure compliance with TXDOT (Texas Department of Transportation) requirements, including the preparation and submission of TXDOT 2802 Forms.
    • Perform a thorough review of the TXDOT Spec Book checklists for subcontracts related to Federal-Aid Projects.

    Waivers:

    • Prepare, send, and save signed Progress and Final Payment Waivers for subcontractors, ensuring timely submission and archiving.

    Qualifications:

    • High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Construction Management, Accounting, or related field preferred.
    • Minimum of 3 years of proven experience in contract management, coordination, or related fields.
    • Familiarity with eCMS module or similar contract management software is a plus.
    • Experience in handling TXDOT forms, subcontract compliance, and federal-aid project requirements.
    • Strong knowledge and understanding of contract terms and legal terminology.
    • Understanding of payment terms, retention, and progress billing in subcontracts.
    • Experience with contracts/subcontracts in the construction industry, especially federal-aid projects.
    • Excellent written and verbal communication skills.
    • High attention to detail and strong organizational skills.
    • Ability to manage multiple contracts and meet deadlines.
    • Ability to work independently and as part of a team in a fast-paced environment.
    • Proficiency in Microsoft Office Suite.
