Summary
The Construction Coordinator (CC) is responsible for supporting the Construction Manager (CM) with construction related tasks related to and including customer calls, project monitoring, tracking, coordination, material selections and project audits. General office duties, such as drafting correspondence, filing invoices, and creating reports are also included within this role.
Primary Responsibilities
· Directly work with customers, managing their budget, material selections, and ordering materials
· Monitor and ensure customers’ additional requests (change orders) are followed and input into their customer profile
· Assist with scheduling all warranty activities
· Enter lead/jobs into the operating system and make sure all information in the project is accurate
· Educate customers on process from estimate approval to construction completion
· Review and validate project file documentation
· Confirm with CM project scope of work is completed
· Verify Xactimate estimates with the customers and insurance carriers
· Delegate tasks to the dispatcher to follow up with insurance carriers on approvals
· Support CMs ensuring work authorization, terms of payment, and deposits are collected before a Project Manager is assigned the project
· Ensure all end of the job paperwork is complete with customer and client
· Ensure estimates are distributed to all necessary parties
· Interface with Subcontractors for availability
· Sign up new Subcontractors and maintain insurances and licensing
· Request project financial updates when any Xactimate estimate, change order or supplement is approved
· Order/Schedule materials and supplies as needed
· Validate completed PO documentation
· Maintain Work-in-Progress (WIP) excel spreadsheet bimonthly
· Conduct weekly Work-in-Progress (WIP) with the reconstruction department
· Maintain internal and external communications
· Maintain a daily communication log for all programmed jobs
· Prepare project reports
· Upon project completion, review file documentation, and update as necessary
· Inform Accounts Receivable when the invoice is due
· Must possess organizational skills and attention to detail
· Aid in answering the phone, filing FNOL reports, and inputting the lead into Work Center and Restoration Manager
Skills, Education and Experience Requirements
· High school diploma/GED
· Associate or bachelor’s degree preferred
· A minimum two years of business experience
· Construction/Project coordinator experience preferred or relevant experience
· Working knowledge of current business software technologies
· Organizational skills
· Superb customer service, administrative, and verbal and written communication skills
· Intermediate math skills
· Experience in the restoration and/or construction industry preferred
· Must pass background check and good driving record
· Time Management skills required
Physical and Work Environment Requirements
This is a largely sedentary role in an office environment. However, some filing may be required. This could require the ability to lift files, open filing cabinets, and bend or stand on a step stool as necessary. Additionally, utilization of company vehicle required to pick up and deliver materials (case-by-case bases if time-sensitive) and conduct QC site visits during construction and final construction to include progress/final pictures for job file.
Normal Working Hours, Additional Working Hours, and Travel Requirements
This is a full-time position, working hours between 8:00 a.m. and 5:00 p.m., Monday–Friday, 40 hours per week. This position occasionally requires longer hours (beyond 8 hours a day) in support of emergency services, and some flexibility in hours may be needed, dependent upon the business needs.
