    Job Overview:

    We are seeking a highly organized and detail-oriented Construction Project Administrator to join our team. The ideal candidate will provide essential administrative support for construction projects, ensuring smooth communication between project stakeholders, accurate documentation, and efficient project management processes. This role is pivotal in maintaining project timelines, budgets, and regulatory compliance.

    Key Responsibilities:

    · Project Coordination:
    Assist project managers and construction teams in coordinating project schedules, resources, equipment, and information.

    · Documentation Management:
    Prepare and maintain project documents such as contracts, purchase orders, submittals, RFIs (Requests for Information), and change orders.

    · Communication:
    Serve as a liaison between project stakeholders, including contractors, clients, vendors, and architects, to ensure clear and timely communication.

    · Budget Tracking:
    Monitor project budgets and expenses, update cost tracking reports, and assist in preparing financial forecasts.

    · Permits and Compliance:
    Facilitate the submission of permits and ensure compliance with local regulations, codes, and safety standards.

    · Contract Administration:
    Support the preparation, review, and administration of construction contracts, including ensuring all parties fulfill contractual obligations.

    · Scheduling and Planning:
    Assist in project scheduling, tracking milestones, and maintaining construction project timelines.

    · Vendor and Supplier Coordination:
    Communicate with vendors and suppliers to ensure timely delivery of materials and services in accordance with project needs.

    · Reporting:
    Prepare regular project progress reports, status updates, and meeting minutes for internal teams and clients.

    · Risk Management:
    Identify potential project risks and coordinate with project managers to mitigate or resolve them.

    Qualifications:

    · Education:
    Bachelor’s degree in Construction Management, Business Administration, or a related field preferred.

    · Experience:
    At least 2 years of experience in construction administration or project management support roles.

    · Skills:

    o Strong organizational and multitasking skills

    o Proficiency in project management software (e.g., Procore, Microsoft Project, Primavera)

    o Knowledge of construction processes and terminology

    o Excellent written and verbal communication skills

    o Detail-oriented with strong analytical abilities

    o Ability to manage multiple priorities and meet deadlines

    · Technical Proficiency:
    Familiarity with budgeting, scheduling, and project tracking tools such as MS Excel, QuickBooks, or similar software.

    · Certifications:
    PMP (Project Management Professional) or CAPM (Certified Associate in Project Management) certification is a plus.

    ** Working Conditions** __

    · Employee will work out of the main office, vehicle office or out of a field office at the construction site.

    · Employee may have to travel when the construction site is in another area or when they are responsible for activities at two or more sites.

    · Employee may also expect to work in stressful situations.

    · Management of construction projects outside of daily driving distance may entail temporary residence in another area.

    · Employee may need to be “on call,” 24 hours a day, to deal with bad weather or emergencies at the site.

    · Employee may be subject to lifting and exposure to extreme weather, fumes and chemicals.

    ** Work and Physical Requirements** __

    · May be exposed to hazardous chemicals.

    · Occasional lifting up to 40 pounds using proper lifting techniques.

    · Subject to standing, walking, sitting, bending, reaching, kneeling, stooping, pushing and pulling.
