    Are you a skilled construction administrative assistant with excellent organization and communication skills? If so, we’d love to talk! We are looking for a team member to help us with organization and support. Tasks include processing and obtaining job permits, working with vendors and subcontractors to get bids and schedule work, supporting the project management team with ordering, and keeping up with receipts and invoices for bookkeeping. Previous experience in the industry is helpful, but not required. Our ideal candidate will have strong computer skills, be a team player, and have a few years of administrative experience. Responsibilities: • Implement clerical and administrative tasks for special projects, and provide general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies as requested • Communicate with vendors and subcontractors as a point of contact to solicit new jobs • Respond to incoming emails and phone calls professionally • Draw up forms such as purchase orders, change orders, service agreements, and subcontracts • Support the office manager, project manager, general contractor, and construction office staff by completing administrative tasks • Process team time cards and keep track of team attendance and scheduling • Process permit applications • Schedule city inspections • Maintain fleet records: fuel and maintenance, schedule repairs, etc. • Assist field personnel with administrative support • Assist field personnel with purchasing • Collect, organize and maintain material and subcontract billings, invoices and receipts for bookkeeping • Maintain weekly job schedules • Maintain daily / weekly field reports and job photos Qualifications: • Proficient in computer skills, especially MS Office (Word, Excel, and Powerpoint) • Superb organization and communication skills, as well as great time management, are essential • An understanding of the construction industry is preferred, but not required • 3 years of experience of administrative experience is needed - previous administrative duties in a busy construction office is ideal • High school diploma is required - additional college such as an associate’s degree or bachelor’s degree is very valuable Compensation: $35,000 - $38,000 per year
