Position Description
We are seeking a Construction Project Coordinator to join our team! This administrative role is pivotal in ensuring the smooth operation of construction projects by managing schedules, maintaining project documentation, and providing excellent customer service. This role reports to the Construction Department Manager. The ideal candidate will have several years of administrative experience. Construction industry experience is a plus!
Responsibilities Scheduling:
Manage and coordinate construction department calendars to ensure timely project completion.
Schedule customer appointments
Update construction personnel on scheduling changes
Data Entry:
Accurately input and update customer information, project details, and expenses into the company database and project management system
Organize electronic and physical job files, ensuring easy access to relevant documents and information
Regularly review and update project notes to keep all involved parties informed of progress and changes
Documentation:
Ensure insurance compliance by accurately maintaining and updating project documentation
Prepare and distribute necessary paperwork, such as contracts, permits, and compliance documents, as required for each project
Keep accurate records of project-related correspondence, including emails, letters, and meeting minutes
Billing:
Generate invoices, collect deposits, and track accounts receivable for each project
Follow up with customers regarding outstanding balances and payment arrangements as needed
Process accounts payable invoices and ensure timely payments to subcontractors, suppliers, and other vendors.
Customer Service:
Provide timely and professional responses to calls, emails, and inquiries from customers and subcontractors.
Proactively communicate with customers to keep them informed on project progress and requirements.
Build and maintain positive client relationships by delivering exceptional service.
Skills
Excellent organizational skills with a keen attention to detail.
Strong communication skills, both verbal and written.
Proficiency in data entry and maintaining organized records.
Ability to multitask and prioritize tasks effectively.
Customer-focused attitude with a dedication to providing exceptional service.
Proficiency in Google Suite and other relevant software applications.
Ability to work independently and as part of a team in a fast-paced environment.
Knowledge of construction processes and terminology is a plus.
Compensation
$25/hour, regular M-F schedule
Full benefits after 90 days, including PTO, 401k matching, health insurance (medical, dental & vision)
