    Job Description

    As a Facilities & Construction Coordinator at The Tile Shop, you will play a pivotal role in ensuring a well-functioning and productive environment for our valued employees. You will be responsible for managing various facilities-related tasks, including help desk tickets, to ensure timely and efficient resolutions.     Key Responsibilities:

    • Address a high volume of help desk tickets related to facilities requests, troubleshooting, and maintenance inquiries promptly, ensuring minimal disruption to employees' workflow.
    • Resolve facilities-related issues by collaborating with internal teams, external vendors, and contractors, ensuring all problems are efficiently resolved within agreed-upon service level agreements.
    • Help maintain an organized inventory of facilities supplies, ensuring stock levels are adequate and reorders are placed on time.
    • Coordinate and schedule preventive maintenance activities, inspections, and repairs to ensure that all facilities and equipment are in optimal working condition.
    • Assist in reviewing & managing facilities budget and expenditure, tracking and reporting on expenses, and identifying opportunities for cost savings.
    • Support the Construction and Facilities Department with routine inspections and compliance reporting.
    • Assist with contract management by maintaining and tracking project-related documents, including contracts, change orders, and progress reports.
    • Order and track materials, tools, and equipment for ongoing construction projects
    • Help manage workflows between the facilities and construction teams, ensuring that priorities are met in both areas.
    • Provide administrative support for meetings, including preparing agendas, taking minutes, and tracking follow-ups.
    • Perform other duties as assigned to support organizational growth and adapt to evolving needs.
  • Qualifications

    Qualifications

    Education:

    • High school diploma or equivalent; Associate’s degree in business, construction management, or a related field is preferred.

    Experience:

    • 2+ years of experience in facilities management, construction coordination, or a similar administrative role.
    • Experience with contract management, product ordering, and tracking is highly preferred.
    • Familiarity with facilities management software, project management tools, and/or construction documentation systems is a plus.

    Skills:

    • Strong organizational skills with the ability to prioritize multiple tasks.
    • Excellent written and verbal communication skills.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to work collaboratively across teams and departments.
    • Detail-oriented and capable of managing complex documentation and tracking systems.

    Working Conditions:

    • Hybrid or on-site position, with some flexibility depending on department needs.
    • Occasional weekend work may be required based on retail store location needs.
    • This position may require up to 10% travel, including visits to facilities or construction sites as needed for inspections, project tracking, and vendor coordination.
