We are hiring for a Contacts Management Coordinator. This person will provide administrative support to the Registration and Deletion Department in Miami and our Regional Offices, where needed. Primarily assists in the coordination of Contacts Management within our internal system.
Collaborates with other departments, Regional Offices, and clients, as directed, to ensure the program and records management are properly executed and maintained.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• In depth knowledge of Maritime Law, Maritime Regulations, Requirements and Procedures pertaining to Registration and maintaining Contacts in our system (Waypoint);
• General knowledge of Contact Management procedures;
• Inform clients on the Contact Management process;
• Act as the department’s point of contact for Contact Management by maintaining the integrity and updating records regarding vessel and company records and contacts including Tonnage Agents, ISM parties and ISPS;
• Enter Declaration of Company for ISM clients and getting a new company approved internally
• Managing of Financial Responsibility work order in Waypoint;
• Provide customer service by responding timely to customer requests and queries from clients, regional offices and internal departments
• Responsible for handling of closed CSRs;
• Assist with the development and maintaining of procedures and work instructions related to the maintenance of contacts in Waypoint;
• Prepare and maintain reports where necessary;
• Monitor & respond to external emails from clients and internal emails within the company and answer calls from clients where necessary to provide additional guidance or answer client queries; and
• Assist in other duties and projects as assigned by managers and executive level staff.
Experience and Education
• College degree required
• Minimum one year of Administration experience. Additional formal executive assistant and clerical training preferred
• Maritime experience preferred
Knowledge, Skills and Abilities
• Proficient knowledge of Microsoft Office applications and use of general office equipment
• Ability to work efficiently in fast-paced environment, organize and prioritize work and meet deadlines
• Well-developed interpersonal and communication skills
• Ability to work in a team environment
• Speak and understand English: Strong skills in English grammar and composition
• Availability to work outside regular business hours (nights, holidays and weekends)
