    Job Description

    ** Job Purpose**

    The Coordinator, Communications will assist in the day-to-day administrative support of the EVP, Global Communications and Marketing for the Universal Studio Group division.

    Essential Responsibilities

    Provide executive administrative support including but not limited to:

    • Answering high volume phones, screen calls, route callers, take messages, respond to internal and external inquiries, and provide routine information within scope of authority
    • Heavy calendar scheduling including prioritizing and resolving conflicts and competing demands, and proactively scheduling meetings with internal and external attendees, work with Publicity team to organize small-to-large-scale meetings.
    • Book all travel arrangements and reconcile purchasing cards, travel receipts, and expense reports,
    • Handle ad hoc office administrative duties for Communications dept (create meeting agendas, set up meeting logistics and tech needs, coordinate catering, office supply orders, submit visitor passes and check-in instructions, prepare internal and external correspondence, creating presentations, etc.)
    • Function as administrative liaison to departmental staff, other departments, external vendors and consultants
    • Maintain/update press contact database and business contacts
    • Assisting with special projects, including research, data collection, and follow-up
    • Track, reconcile and file departmental invoices/accounting alongside the manager of corporate communications
    • Create coverage reports for key department press releases and announcements; assist in preparing key dates and other departmental reports for review
    • Stay on the pulse of industry trends, including relevant social media and breaking news
    • Works cross-functionally with teams across the division including marketing, digital, research and programming to provide communications support
    • Support Communications team on series campaigns and events as needed
    • Maintain standards of strict confidentiality with respect to all matters and documents
    • Perform other duties as assigned
  • Qualifications

    Qualifications

    ** Basic Requirements:**

    • Minimum of 2 years of executive administrative experience supporting senior level executive(s)
    • Minimum of 2 years of professional experience with Microsoft Office (i.e. Word, Excel, PowerPoint, Outlook)

    ** Desired Characteristics:**

    • Experience with Canva or equivalent application such as Storydoc as well as working knowledge of PR coverage tools (i.e. Releasd, Muck Rack, Critical Mention, Cision, etc.)
    • Bachelor’s degree
    • Passion for Public Relations
    • Superior organization and ability to meet tight deadlines in a fast-paced environment
    • Ability to multitask while handling significant incoming requests.
    • Excellent writing skills with attention to detail
    • Proactive, highly resourceful, a problem solver, strong external and internal communications skills
    • Ability to exercise a high level of discretion in handling confidential and sensitive information
    • Ability to work both independently and with a team

    ** Additional Requirements:**

    • Willingness to travel and work overtime, and on weekends with short notice
    • Must be willing to work in Universal City, California
    • Must have work authorization to work in the United States
    • Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week, or as needed

    Salary Range: $50,000-$60,000
