Job Description
This multi-faceted position will support the Controller and finance department with Accounts Payable, Accounts Receivable, Monthly Financials, Budgeting and Ad Hoc reporting duties.
ESSENTIAL JOB FUNCTIONS:
Collaborate with Project Managers and Project Coordinators to enter and maintain budgets in Project Management Software system (Procore).
Update Budget forecasting for both Prime Contracts and Subcontractor Expenses.
Assist Controller with providing monthly Project level reporting to both Upper Management and Project Managers.
Oversee Project Expenditure overages and communicate with Project Managers to process any related Budget or Commitment Change Orders.
Assist Project Managers with Prime Contract billing utilizing Construction Industry AIA Standard Document billing. Ensure documents are notarized and supporting Lien Waivers are included in billing package.
Provide administrative assistance to the Controller
Work with Project Management team to ensure new jobs are opened in QuickBooks and Payroll Timekeeping system as new contracts are signed and formalized.
Assist with monthly close process: post monthly journal entries and A/P, A/R and Payroll Accrual journal entries.
Prepare Cost/Variance Analysis between Actual and Forecasted amounts.
Perform ad-hoc accounting tasks on an as-needed basis
REQUIREMENTS | COMPETENCIES:
Candidate must have a bachelor’s degree in Business, Finance or Accounting (Master's degree preferred), or can be a matriculated student in an accredited college or university pursuing a graduate degree in business, finance, or accounting.
Must be proficient in Microsoft Word and Microsoft Excel.
Experience with QuickBooks and Procore software is a plus, but not required.
Willingness to learn and adapt to new software systems as company requirements warrant.
Must be able to seek out direction when needed and keep their managers / supervisors informed throughout the lifecycle of the project.
Able to demonstrate strong analytical and quantitative skills, excellent communication and presentation skills and leadership qualities are required.
Independent, self-starter with the ability to plan and prioritize work schedules
Ability to multi-task and work with multiple clients
Ability to build sustainable client relationships and trust with client accounts
Superior oral and written communication and presentation skills
A strong team collaborator

Capable to commute to office in Mahwah, NJ
