    Job Description

    This multi-faceted position will support the Controller and finance department with Accounts Payable, Accounts Receivable, Monthly Financials, Budgeting and Ad Hoc reporting duties.   

    ESSENTIAL JOB FUNCTIONS:  

    • Collaborate with Project Managers and Project Coordinators to enter and maintain budgets in Project Management Software system (Procore). 

    • Update Budget forecasting for both Prime Contracts and Subcontractor Expenses. 

    • Assist Controller with providing monthly Project level reporting to both Upper Management and Project Managers. 

    • Oversee Project Expenditure overages and communicate with Project Managers to process any related Budget or Commitment Change Orders. 

    • Assist Project Managers with Prime Contract billing utilizing Construction Industry AIA Standard Document billing.  Ensure documents are notarized and supporting Lien Waivers are included in billing package. 

    • Provide administrative assistance to the Controller 

    • Work with Project Management team to ensure new jobs are opened in QuickBooks and Payroll Timekeeping system as new contracts are signed and formalized. 

    • Assist with monthly close process: post monthly journal entries and A/P, A/R and Payroll Accrual journal entries. 

    • Prepare Cost/Variance Analysis between Actual and Forecasted amounts. 

    • Perform ad-hoc accounting tasks on an as-needed basis

     

    REQUIREMENTS | COMPETENCIES:  

    • Candidate must have a bachelor’s degree in Business, Finance or Accounting (Master's degree preferred), or can be a matriculated student in an accredited college or university pursuing a graduate degree in business, finance, or accounting.  

    • Must be proficient in Microsoft Word and Microsoft Excel.   

    • Experience with QuickBooks and Procore software is a plus, but not required. 

    • Willingness to learn and adapt to new software systems as company requirements warrant.  

    • Must be able to seek out direction when needed and keep their managers / supervisors informed throughout the lifecycle of the project.  

    • Able to demonstrate strong analytical and quantitative skills, excellent communication and presentation skills and leadership qualities are required.  

    • Independent, self-starter with the ability to plan and prioritize work schedules 

    • Ability to multi-task and work with multiple clients 

    • Ability to build sustainable client relationships and trust with client accounts 

    • Superior oral and written communication and presentation skills 

    • A strong team collaborator  

    • Candidates must be legally authorized to work in the U.S. and must not require sponsorship for employment visa status now or in the future. 

    • Capable to commute to office in Mahwah, NJ
