    Job Summary:

    Retail First, located in Elgin, IL, is seeking a highly organized, customer-focused Customer Service/Project Management Coordinator to join our team. This role combines customer service and administrative responsibilities, including answering calls, creating and managing sales orders, purchase orders, shipping orders, and providing follow-up support. The ideal candidate will be proficient in using ERP systems and Excel to manage orders and track project progress, ensuring smooth operations and exceptional customer satisfaction.

    Key Responsibilities:

    Customer Service and Order Management Duties:

    Answer Incoming Calls: Serve as the first point of contact for customers, answering calls in a friendly and professional manner, addressing inquiries, and providing support.

    Create Sales Orders: Accurately input customer orders into the ERP system, ensuring all order details are correct.

    Create Purchase Orders: Generate purchase orders as needed, ensuring inventory levels and project requirements are met.

    Create Shipping Orders: Prepare and process shipping orders, coordinating with warehouses and delivery teams for timely dispatch.

    Follow-up on Orders: Track the status of sales, purchase, and shipping orders, ensuring timely processing and resolution of any issues. Proactively follow up with customers and suppliers to address any delays or concerns.

    Customer Inquiries: Handle customer inquiries regarding orders, delivery status, or product information, providing clear and timely responses.

    Project Management Support:

    Assist in planning and coordinating project milestones, ensuring that timelines and deadlines are met.

    Support project managers in managing project documentation, schedules, and internal communications.

    Collaborate with internal teams, vendors, and customers to ensure smooth project execution and customer satisfaction.

    ERP System and Excel Management:

    Utilize the ERP system to manage order data, track inventory levels, and generate reports for customer and project tracking.

    Use Excel to analyze order data, maintain order spreadsheets, and support reporting needs.

    Ensure that all data entered into the ERP system is accurate and up-to-date.

    Qualifications:

    Experience: Prior experience in customer service, order management, or project coordination, preferably in a retail or supply chain environment.

    Technical Skills:

    Experience using an ERP system (e.g., SAP, Oracle, or similar).

    Proficiency in Excel for data management, order tracking, and reporting.

    Communication Skills: Excellent verbal and written communication skills, with the ability to manage customer relationships professionally.

    Organization: Strong organizational skills with the ability to manage multiple orders and projects at once.

    Attention to Detail: Accuracy in order entry and a focus on maintaining high standards of service.
