Position Overview: We are seeking a highly organized and personable Customer Service Representative to join our team. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to multitask efficiently in a fast-paced environment. In addition to customer service duties, this role also involves project management and data entry responsibilities, making it essential for the candidate to be detail-oriented and capable of managing multiple projects.
This role includes answering phones, scheduling appointments, managing construction timelines, handling job billing, collecting payments, performing data entry tasks, and assisting with project coordination.
Key Responsibilities:
Answer incoming phone calls promptly and courteously.
Field customer inquiries and direct calls to the appropriate department or personnel.
Schedule appointments for service and maintenance calls.
Register HVAC equipment for manufacturer warranties.
Coordinate and schedule job inspections with customers and inspectors.
Assist with managing construction timelines and project statuses, ensuring all projects progress smoothly and deadlines are met.
Track and monitor project milestones, providing regular updates to customers and internal teams.
Handle project coordination tasks to ensure communication between all involved parties is streamlined.
Maintain accurate and detailed records of customer interactions, appointments, and project statuses.
Handle job billing processes, including preparing and sending invoices to customers.
Collect payments, process transactions, and follow up on overdue accounts as necessary.
Perform data entry tasks related to customer information, warranties, payments, and project management.
Provide exceptional customer service, resolving any issues or concerns with professionalism and efficiency.
Perform other administrative tasks as required to support the smooth operation of the office.
Qualifications:
High school diploma or equivalent; additional education or certifications in customer service, project management, or related fields is a plus.
Proven experience in a customer service role, preferably in the HVAC or construction industry.
Experience in project management and data entry is required.
Experience with billing and payment collection.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in using computer systems and software, including Microsoft Office Suite and customer management systems, Service Fusion a plus.
Ability to work independently and as part of a team.
A positive and professional attitude with a commitment to providing outstanding service.
