The Data Entry Specialist is responsible for accurately and efficiently entering work orders, purchase orders (POs), and invoices into company systems. This role supports operational efficiency, enabling the administrative and accounting teams to promptly review documentation and ensure accurate, timely customer billing. The ideal candidate will demonstrate exceptional attention to detail, strong memory recall, excellent organizational skills, and the ability to handle high volumes of data with consistent accuracy. Responsibilities: Data Entry and Records Management : • Responsible for accurately and promptly entering critical data into designated systems, including work orders, purchase orders, and invoices. • Ensure data integrity by meticulously verifying all entered information against original documentation, proactively addressing discrepancies or missing data, and maintaining organized, easily accessible records. Key Responsibilities : • Accurately enter detailed information from work orders, purchase orders, and invoices into designated systems. • Verify the accuracy of data by cross-checking entered information against original source documents. • Maintain organized, accurate records to facilitate efficient retrieval and auditing. • Demonstrate exceptional attention to detail, proactively identifying and correcting errors or discrepancies in documentation. • Utilize strong memory recall to efficiently manage and reference recurring documentation and workflows. • Communicate proactively with team members to clarify discrepancies or obtain missing information on source documents. • Assist with routine administrative tasks as necessary to support departmental operations. • Maintain strict confidentiality regarding sensitive business and financial information, complying with company policies. • Identify and recommend process improvements to enhance data entry efficiency and accuracy. • Develop and maintain standard operating procedures (SOPs) related to data entry tasks as needed. Qualifications: • Previous experience in data entry or a related administrative role, ideally within a manufacturing or fleet management environment. • Strong attention to detail with an unwavering commitment to maintaining data accuracy. • Excellent organizational skills, capable of effectively managing multiple tasks and prioritizing workload. • Demonstrated ability for strong memory recall, facilitating efficient handling of repetitive tasks and familiarization with procedures. • Proficiency with Microsoft Office Suite, especially Excel and Outlook. • Familiarity with QuickBooks or similar accounting software preferred. • Effective written and verbal communication skills. • Self-motivated with a proactive approach to problem-solving and the ability to work independently. Compensation: $16 - $18 hourly
