Job Description
SUMMARY
Primarily responsible for the project management of key accounts and client programs from concept to mail drop in an efficient, cost-effective and timely manner, with excellent Customer Service skills. Also responsible for development of a productive business relationship to ensure client satisfaction and continued business.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Responsible for coordinating all aspects of client’s mailing, including submission of text, data processing instructions, printing, lettershop applications and mail processing, production and scheduling.
2. Schedule and enter account information into CJM, determine mail date and monitor timeliness.
3. Coordinate, inspect and make recommendations on client materials received at Data-Mail.
4. Coordinate laser text and sign-offs with client.
5. Analyze programming specifications and manage letter text signoff procedures.
6. Coordinate client visits and conduct client meetings.
7. Onboard new clients
8. Conduct job design meetings
9. Work closely with peers in other departments
10. Analyze postal requirements.
11. Ensure postage monies are correct and received before mailing.
12. Update quote and correspondence with client to ensure proper billing.
13. Create lettershop instructions, recaps, & production samples. Maintains inventory control.
14. Ensure all lettershop instructions are correct.
15. Advise client on technical and logistic opportunities and problems with mailing.
16. Keep apprised of new postal regulations, as well as new direct mail techniques and make recommendations to senior management and client.
17. Analyze leftover inventory and take appropriate action.
18. Ensure all leftover inventory is reported to the client and action is taken.
19. Input data into CJM, process changes to job. May include setting up new customers.
20. Generate inventory, production count and other miscellaneous reports. Provide general follow-up assistance.
21. Follow-up on material leftovers: Supply customers with leftover balance reports. Attain material disposition. Write transportation orders.
22. Mailpiece preparation:
Process customer samples
Prepare customer samples for approval
Assist in the preparation of internal production samples
23. Verify and file production QC pulls
24. Perform record keeping. Sign-off preparation.
25. Prepare postage requests, postal reports and scan 3602’s.
26. Ensure postage monies are correct and received before mailing.
27. Prepare transportation orders to ship samples
28. Prepare PDF’s for clients.
29. Complete special projects, as required.
30. Continually learn new techniques in the direct mail industry.
31. Comply with company rules and regulations.
32. Maintain confidentiality of company-sensitive data.
33. Implement a commitment to quality philosophy and recommend methods and procedures to reduce cost and/or improve operating efficiency of the department.
34. Keep Team Lead/Director informed of activities and situations that will impact the achievement of corporate or department goals and objectives.
35. Perform other related duties as required to achieve the goals and objectives of the department and company
EDUCATION/EXPERIENCE
· Four-year college degree plus a minimum of 4 years in a customer service position or equivalent experience
· Minimum of 4 years’ experience in data processing, marketing or printing environment.
· Microsoft Office – spreadsheet and word processing
· Proficiency in Excel & Word
