    The Daycare Administrative Assistant is responsible for providing administrative support to ensure the efficient operation of the daycare center. This role involves assisting with daily operations, maintaining records, handling communications, and supporting staff and parents.

    Key Responsibilities:

    1. Front Desk Management:
    • Greet and assist parents, children, and visitors upon arrival.
    • Answer phone calls and respond to inquiries in a friendly and professional manner.
    • Manage check-in and check-out procedures for children.
    1. Administrative Support:
    • Handle correspondence, including emails, letters, and phone calls.
    • Maintain organized and up-to-date records of children, including attendance, enrollment forms, and emergency contact information.
    • Assist with scheduling and coordinating events, meetings, and activities.
    1. Financial Duties:
    • Collect and process tuition payments and other fees.
    • Maintain financial records and assist with budgeting and reporting.
    • Prepare and distribute invoices and receipts to parents.
    1. Compliance and Reporting:
    • Ensure compliance with state and federal regulations and licensing requirements.
    • Assist in preparing and submitting required reports and documentation to regulatory bodies.
    • Maintain up-to-date records of staff certifications and training.
    1. Communication:
    • Serve as a point of contact for parents, addressing concerns and providing information.
    • Distribute newsletters, memos, and other communications to parents and staff.
    • Facilitate communication between management, staff, and parents.
    1. Office Management:
    • Order and manage office supplies and equipment.
    • Ensure the office area is organized and presentable.
    • Support staff with administrative tasks as needed.
    1. Support to Staff:
    • Assist teachers and caregivers with administrative tasks.
    • Coordinate staff schedules and manage time-off requests.
    • Organize staff meetings and training sessions.

    Qualifications: Education: High school diploma or equivalent; some college coursework in business administration or early childhood education is preferred. Experience: Previous experience in an administrative role, preferably in a daycare or educational setting. Skills:

    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and daycare management software.
    • Basic knowledge of accounting and bookkeeping principles.
    • Ability to maintain confidentiality and handle sensitive information.

    Working Conditions:

    • This position typically involves working in an office within the daycare center.
    • The role may require occasional lifting of office supplies or materials.
    • The administrative assistant may interact with children occasionally, requiring patience and a friendly demeanor.

    Additional Information:

    • Schedule: Full-time, typically Monday through Friday. 9:00 am - 6:00 pm
