The Healthcare Office Manager is responsible for the day-to-day operations for the assigned regions, overseeing personnel, building key relationships, and fostering a collaborative culture with hands-on leadership. The Regional Manager guides the delivery of the Company's mission to provide high-quality mental health care.
Responsibilities
- Develop and implement strategic plans aligned with company's goals.
- Identify and capitalize on business opportunities in the region.
- Carry out supervisory responsibilities in accordance with Company policies and applicable laws.
- Manage remote teams, ensuring a cohesive culture and effective communication.
- Evaluate and align operational positions with recruiting and regional needs.
Coordinate training programs for new and current staff.
- Conduct timely and constructive performance evaluations, disciplinary actions, and terminations in accordance with policies.
- Oversee planning, directing, and auditing of work for staff.
- Ensure effective use of technology platforms for enhanced service delivery.
- Identify and mitigate potential risks associated with regional operations.
- Develop contingency plans for unforeseen challenges.
- Monitor performance metrics and report key indicators to the executive team.
- Build relationships with key stakeholders, including community partners and regional healthcare providers, including represent the Company in regional meetings or forums.
- Analyze financial performance and implement cost-saving measures.
- Conduct audits of data or information for Clinical and/or Operational teams.
- Collaborate with the finance department and C-Suite to develop and manage the regional budget.
- Work with the executive team and other directors/managers to maintain the accuracy of processes.
- Coordinate between the Clinical and Operational teams concerning accesses, referrals, assignments, or other related items.
Act as a liaison between the clinic/provider/facilities and the central business services.
- Conduct market analysis to identify trends, competition, and growth opportunities.
- Support the Company’s Mission, Vision, and Values.
- Conduct weekly staff meetings, provide excellent communication, and identify opportunities.
- Participate in traditional and e-learning programs when applicable.
- Serve as the last point of escalation for resolving facility complaints.
- Create and update applicable operational reports, documents, and metrics.
- Assist with the creation of a standardized SOP template for cross-state/departmental use.
- Perform other duties or special projects as assigned.
Requirements
- An individual must perform each essential duty satisfactorily
- Bachelor’s degree in a related field or equivalent work experience
- Minimum of 2 years’ experience managing a medical office (Behavioral/Mental Health office preferred)
- HIPAA & OSHA Certification (Preferred)
- Strong communication skills (Oral and written)
- Effective problem-solving and analytical mindset
- Technical proficiency in PC, Windows, Internet, MS Office, and EHR software (Athena preferred)
- Project management and quality management abilities
- Business acumen and adaptability in a fast-paced environment
- Leadership with sound judgment and motivation to achieve goals
- Effective planning, organizing, and professionalism
