  • Responsibilities

    The Development Coordinator works with the Director of Development to meet or exceed fundraising goals by supporting all aspects of IPSF’s fundraising activities and efforts. This person is responsible for database management and fundraising support with specific responsibilities in donor stewardship, prospect/grant research, logistics, and sponsorship fulfillment.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Manages gifts and database administration processes

    Designs step by step procedures and manages processing of all donations.

    Establishes data structures and sets standards for data entry and quality control processes.

    Ensures the accurate and timely entry of data, and quality of content in the donor database, including maintaining and updating donor and prospect records.

    Coordinates with finance team to ensure all donations are properly received, attributed and tracked to fulfill both departments’ needs.

    Drafts and mails donor acknowledgment letters and other development related correspondence.

    Generates and analyzes lists, standard reports and ad hoc reports as requested.

    Communicates pertinent donor database updates, upgrades and issues with the development team and shares opportunities for database trainings.

    Coordinates and supports donor stewardship, prospect research, sponsorship fulfillment and targeted outreach efforts

    Performs research on donors and prospects and investigates foundation and corporate grant or sponsorship opportunities.

    Assists in the preparation of sponsorship packets and grant proposals.

    Solicits in-kind donations and coordinates in-kind donation pick-up and delivery.

    Ensures the Donor Honor Roll is updated regularly and accurately on IPSF’s website and in publications.

    Provides general administrative support for development department activities.

    Supports the planning and execution of IPSF development activities including annual appeals, special events, and third-party fundraising activities.

    Drives personal car on work errands and for other purposes; maintains driving record and personal car insurance in accordance with organization’s policies and state regulations and provides related records periodically.

    Meets all requirements for confidentiality and for management of program, finance, and personnel information including distribution controls, secure filing and disposal and records and retention storage.

    Duties and responsibilities may be added, deleted, modified, or changed at any time at IPSF’s discretion. Changes may be made formally, informally either verbally or in writing.

    PHYSICAL DEMANDS/WORKING CONDITIONS:

    Sits for extended periods of time, in intense concentration, at a computer station or work desk. Stands and walks throughout the day.

    Uses hands and fingers to operate computers and office equipment for up to 8 hours or more each day.

    Requires clear vision at 20 inches or less with or without corrective lenses and vision sufficient to use equipment and drive a car safely.

    Has hearing and speech within normal ranges and sufficient for clear communication face to face and on the telephone.

    Lifts up to 10 pounds regularly and 25 pounds occasionally.

    Exposed to typical office environment conditions and noise levels.

    Work consists of heavy workloads, deadlines, and interaction with a wide variety of people on various issues.

    Will include weekend and evening work at times with advanced notice.

    KNOWLEDGE, SKILLS, AND ABILITIES:

    Must have knowledge of fundraising functions and donor or membership database management systems, Raisers Edge/NXT a plus.

    Must have the ability to work independently, setting goals for, and prioritizing ongoing and new projects to meet deadlines.

    Uses critical thinking skills to create documents and spreadsheets and interpret information in written, oral, diagram, or schedule form.

    Uses skill and judgment to problem-solve and ensure written or verbal outputs are clear, accurate, grammatical and of appropriate tone.

    Must be well-organized and have the ability to manage multiple and competing tasks and deadlines.

    Able to formulate appropriate responses to requests for services and information from internal and external sources.

    Maintains current knowledge of and complies with organizational and department policies and procedures.

    Proficient with common office equipment and Microsoft Office tools such as Word, Excel, Outlook and Teams.

    EDUCATION AND EXPERIENCE

    Bachelor’s degree preferred, or related job experience.

    One to three years related experience in relevant data management preferred; experience with Raisers Edge NXT or a similar database a plus.
