    The Director of Law Firm Operations is a pivotal leadership role responsible for operationalizing growth strategies, managing administrative operations, and driving operational efficiency within the law firm. This role ensures alignment across teams, promotes a culture of trust and success, and translates the firm’s vision into actionable strategies. The ideal candidate will oversee personnel management, enhance operating and information systems, and lead human resources and staff training. Additionally, they will manage the firm’s financial operations, significantly contribute to marketing, client experience, client development efforts, and oversee the firm’s facilities. Reporting to the firm’s Managing Partner, this role will manage all functional areas within the firm. The ideal candidate for this role is a dynamic, results-oriented leader with the ability to drive operational excellence in a fast-paced law firm environment. They will be strategic yet hands-on, ensuring that daily operations run smoothly while executing long-term initiatives to grow and enhance the firm. This role requires a balance of financial acumen, leadership, and an understanding of legal business operations. Responsibilities: Strategy: • Key leadership position responsible for growing the business, synchronizing major business functions, driving accountability, and ensuring the organization executes its vision with discipline and efficiency. • Contribute to setting the firm’s vision, strategic and tactical planning. • Identify and mitigate risks to protect and enhance the firm’s operational integrity. • Ensure high-quality services through process and performance oversight. • Support organizational and personnel growth and development. **** Business Development: • Develop and implement business development strategies to expand the firm’s client base and market presence. • Identify opportunities for growth and collaborate with partners to pursue strategic initiatives. • Establish and maintain relationships with key clients, referral partners, and industry stakeholders. • Track and analyze market trends to identify competitive advantages and areas for expansion. • Lead efforts to enhance client engagement, retention, and satisfaction. **** Financial Management: Collaborate and partner with the firm’s bookkeeper to: • Develop and implement the Firm's annual budget with a focus on fiscal responsibility. • Manage payroll operations and ensure compliance with staff time tracking tools. • Maintain integrity and compliance of client trust accounts. • Implement effective cash flow control measures with a forward-looking discipline. • Oversee the administration of the 401(k) plan and continually enhance employee benefits. • Cultivate and maintain productive banking relationships. • Manage the pipeline of the firm's case flow to meet financial goals. • Oversee financial reporting, forecasting, and strategic financial planning. **** Human Resources Administration: • Lead the firm's Human Resources functions, including recruitment, onboarding, payroll, and benefits administration (in partnership with an external bookkeeper and broker). • Assess and fulfill staff requirements to support firm operations. • Develop and enforce firm policies, procedures, and job expectations for all staff. • Support the Managing Partner in managing associate attorney compensation and bonuses. • Define and oversee team KPIs to ensure optimal team performance. • Lead training and onboarding initiatives for new and existing staff. **** Marketing and Business Development: • Develop and implement a marketing strategy in collaboration with firm Partners to support growth goals. • Define and track marketing KPIs to align with business development goals. • Oversee external marketing agencies, ensuring consistency and effectiveness in digital and print materials. • Spearhead client development initiatives tailored to firm growth strategies. • Maintain and enhance the Firm's website and online presence. • Conduct competitive analysis to refine branding, positioning, and client acquisition strategies. **** Technology Management: • Evaluate and manage the Firm's computer systems and software to ensure efficiency and security. • Manage maintenance contracts for all computer hardware and software. • Oversee and enhance the Firm's telephone system to improve communication. • Maintain relationships with external IT providers to optimize firm technology infrastructure. • Lead efforts in cybersecurity, data protection, and disaster recovery planning. **** Facilities Management: • Oversee leasing agreements and administrative aspects of facility management. • Manage the Firm's physical space, ensuring optimal layout, renovations, and maintenance. • Oversee procurement and upkeep of office furniture and equipment. • Ensure operational efficiency of office infrastructure, including security and accessibility. **** Process Excellence & Compliance: • Develop, document, and continuously improve key business processes. • Ensure compliance with industry regulations, financial controls, and firm policies. • Establish performance measures for quality, efficiency, and cost-effectiveness. • Lead initiatives in process automation and optimization. • Conduct risk assessments and implement mitigation strategies to protect firm operations. **** Leadership & Cultural Impact: • Lead by example, fostering a culture of trust, collaboration, and excellence. • Serve as a strategic advisor to the Managing Partner and firm leadership. • Facilitate change management and drive continuous improvement initiatives. • Balance daily operational needs with long-term strategic initiatives. • Maintain high employee morale and engagement, ensuring a supportive and thriving work environment. Qualifications: • Ability to partner with the firm’s leadership team to set vision, build growth strategies, and establish KPIs to measure performance. • 7-10 years of experience in an operations leadership role within a professional services or law firm environment, with a strong focus on process improvement and operational efficiencies. • 5-7 years of experience managing staff, including hiring, training, and performance management. • An owner’s mentality with a commitment to driving the organization to new levels of growth and success. • Highly organized and detail oriented. • Strong financial and analytical skills. • Strategic thinker with the ability to execute complex projects. • Ability to unite and lead diverse team members effectively, fostering a cohesive and productive environment. • Background in accounting practices and fiscal management. • Exceptional administrative, organizational, and time management skills. • Outstanding verbal and written communication abilities. • Experience creating SOPs and KPIs for staff positions, including leveraging Smart Advocate. • Strong analytical skills to interpret data and provide strategic recommendations. • Ability to champion a paperless work environment. • Bachelor’s degree in Finance, Accounting, Human Resources, or Business Management. Compensation: $150,000 + Performance Bonus Eligible
