We are seeking a dynamic and detail-oriented professional to oversee and optimize the daily operations, marketing initiatives, and team collaboration at our boutique luxury real estate company. The director of operations and marketing will manage office functions, technology platforms, and internal processes to enhance efficiency and compliance across all business operations. The ideal candidate will lead efforts to streamline communication, implement productivity tools, and ensure seamless transaction management while fostering a collaborative and positive work environment. Additionally, they will drive marketing efforts, including creating outreach materials, overseeing social media content, and planning high-end events to promote luxury listings and strengthen client relationships. This position also includes providing leadership to administrative staff, aligning operational goals with the company’s strategic vision, and supporting future initiatives to enhance agent productivity and training. This is a full-time, on-site position requiring 40 hours per week, with a competitive base salary of $70,000 and the potential for quarterly performance bonuses. We offer 12 days of paid time off annually, in addition to federal holidays. Health insurance benefits become available after six months of employment. Identify bottlenecks in business operations and develop systems or solutions to improve overall efficiency. • Manage internal processes, such as transaction coordination, listing coordination, file management, and compliance to ensure efficiency and regulatory adherence. • Collaborate with management to set and execute operational goals aligned with business strategy. • Streamline communication between agents, administrative staff, and leadership to ensure timely updates and issue resolution. • Ensure that technology platforms such as CRM systems, transaction management tools, and marketing software are fully utilized. • Implement technology solutions and productivity tools that streamline workflows for agents and staff and reduce operational costs while increasing productivity. Marketing: • Review the company's existing marketing plan, streamline processes, and implement systematic approaches to improve efficiency and effectiveness. • Create and manage monthly mailers, e-newsletters, and other outreach materials to engage and grow the company's audience. • Produce high-quality print materials to showcase individual listings and promote the firm’s brand and services to high-end clients. • Assist in planning, creating, and posting dynamic content across multiple social media platforms to build brand presence and connect with target audiences. • Oversee the strategy, planning, and execution of events to strengthen client relationships and market luxury listings. Team Leadership and Collaboration: • Collaborate with department heads and administrative staff to align operations and agent productivity efforts with broader company goals. • Lead initiatives that promote team collaboration and a positive work culture. • Provide direct leadership to any administrative staff or coordinators, ensuring efficient task delegation and high-quality performance. Compliance and Transaction Management: • Oversee compliance with local real estate regulations and company policies, ensuring that all documentation and processes are completed accurately and on time. • Work closely with the transaction coordinator to ensure that each deal runs smoothly from contract to close. • Ensure agents and staff adhere to operational policies, including document management and regulatory requirements. Agent Productivity and Support: (to be implemented in the future) • Develop and implement agent onboarding processes, ensuring new agents are well-equipped to succeed from day one. • Design and deliver training sessions focused on key productivity tools, CRM use, lead generation strategies, and best practices. • Implement and track lead distribution strategies, ensuring fairness and maximizing conversion rates. • Assist agents in troubleshooting issues related to listing management, transaction coordination, or CRM use. • Monitor agent performance metrics, providing feedback, coaching, and tools to help agents meet their individual sales goals. Qualifications: The ideal candidate will have: • Bachelor’s degree or equivalent professional experience. • Active Oregon Real Estate License (preferred, but not required). • Minimum of two years of experience in operations and/or marketing, with real estate experience strongly preferred. • Exceptional verbal and written communication skills, with the ability to effectively convey ideas and information to diverse audiences. • Proficiency in designing print marketing materials that align with brand standards and elevate the company’s image. • Strong organizational skills, with the ability to coordinate across teams and individuals to streamline workflows and improve overall office productivity. • Flexibility to work occasional evenings or weekends as needed to meet business demands. Compensation: $70,000 - $90,000 yearly
