JOB TITLE: OFFICE MANAGER
LOCATION: ROANOKE, IN
REPORT TO: OPERATIONS MANAGER

Doc's is looking to add an experienced full-time Office Manager to our growing crane and rigging business. You must meet all the requirements below to be considered for this position.
SUMMARY:
As an Office Manager, you will ensure that our company's administrative, customer support, and project coordinating needs are met. You will work with the Operations Manager to assist in bidding, project scheduling, cost analysis, and invoicing. In addition, the Office Manager is responsible for planning and implementing solutions that comply with company policies and legal regulations. You will be tasked with billing, payroll and collections, and the preparation of monthly financial reports.
A successful Office Manager should be highly organized and ensure that daily office operations requirements and objectives are met.
RESPONSIBILITIES:
· The office manager is responsible for overall office administrative activities, including accounting, collections, and DOT compliance.
· Develop project scope, cost, scheduling, project, and personal identification, directly collaborating with the Operations Manager.
· Direct administrative duties include scheduling, maintaining filing system, mailing and shipping packages, and updating contact database and customer list.
· Administrative duties include answering phones, sorting and distributing mail, and preparing documents.
· Responding to customer inquiries and referring clients to the proper channels.
· Reviewing purchase orders and preparing bills and invoices
· Issue invoices to customers and assist with collection issues.
· Review and approve outstanding company bills.
· Review and enter timesheets into the payroll system.
· Processes personnel paperwork and terminations and notify management.
· Maintain and processes employee status changes and updates in appropriate systems.
· Maintains the inventory of office supplies; orders new supplies as needed.
· Management of company vehicle registrations.
QUALIFICATIONS:
· High School diploma or GED required.
· Experience with Microsoft Office and QuickBooks
· Excellent interpersonal and customer service skills.
· Excellent written and verbal communication skills
· Excellent organizational skills and attention to detail
· Excellent time management skills with a proven ability to meet deadlines.
· Minimum of 3-5 years’ experience with working knowledge of accounting, office management, project coordination, collections, and transportation compliance.
· Ability to handle highly confidential financial and business information
· Service-oriented team player who has a positive attitude and is flexible, responsive, proactive, and self-motivated
· Ability to work happily and professionally in a fast-paced and complex company
LANGUAGE SKILLS:
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to communicate in a collaborative way that inspires while knowing when to be direct to hold the team accountable. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.
MATHEMATICAL SKILLS:
Ability to analyze, comprehend and reach conclusions from market, business, and financial data and reporting.
REASONING ABILITY:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to make a timely decision with the information at hand.
