Summary
The Document Custody Analyst is responsible for indexing and uploading mortgage files and documents received from clients through various electronic means into Real Time’s imaging system.
Essential Functions
- Request loan files and documents from clients and custodians according to established company and client guidelines; maintain the client and custodian contact schedule.
- Process closed loan files for retention and storage, adhering to loan retention schedules for stored files.
- Assist in managing physical loan files, including handling requests for retrieval and delivery to Real Time employees, and ensure files are kept in a secure environment.
- Assist with various client and investor projects in a timely manner – including but not limited to new loan audits, file finding and image uploading.
- Prepare images and/or physical files for shipment to external parties such as counsel, investors, or clients, as needed.
- Notify the supervisor of changes in volume or any issues that arise.
Qualifications and Skills
- High School Diploma required; Bachelor’s Degree preferred.
- Proficiency in Microsoft Word and Excel with a working knowledge of Adobe/FoxIt.
- Ability to lift 50 lbs. and to stand and bend for most of the workday.
- Strong organizational, verbal and written communication skills.
- Must have valid Texas driver license and a good driving record.
- Detail oriented with the ability to work within deadlines.
- Willingness to gain knowledge on file retention and mortgage banking/servicing industry.
- Ability to meet regular attendance requirements and schedules established for the department.
- Ability to work as a team member, effectively sharing ideas, skills and knowledge.
