JOB DESCRIPTION
TITLE: OPERATIONS MANAGER
REPORTS TO: GENERAL MANAGER
SCOPE AND PURPOSE:
Professionally manage and oversee physical and financial operations of outside vendors handling the common areas of the property: Parking, Janitorial, Security and other trades as necessary to accomplish Ownership goals and objectives while adhering to governmental and ethical guidelines.
DUTIES AND RESPONSIBILITIES: Include but are not limited to the following, as other duties may be assigned.
GENERAL OPERATIONS
- Oversee 3rd party Security Operations and Staff
- Oversee 3rd party Parking Operations and Staff
- Oversee 3rd party Janitorial Operations and Staff
- Oversee Landscaping Contractor
- Establish and enforce retail operations rules and regulations
- Assist General Manager as needed
- Plan and staff special events taking place on nights and weekends
- Obtain proposals for all common area operations related projects and equipment
- Daily Common area and garage property inspections and scorecard
- Assist General Manager to develop and train on Property Procedures, including building emergencies
- Attend seminars to further keep abreast of industry trends (neighborhood events, LAPD events, BOMA, ICSC)
- Investigate new vendors to perform work on the project; contract administration and management for painting, window washing, power washing, golf carts, radios, and cameras
- Order supplies and equipment as needed
- Review and submit maintenance requests
- Prepare monthly Variance Reports
- Invoice coding for General Manager’s approval
- Purchase Orders administration and approval
- Prepare annual Budgets– Common Area and Parking Garage
- MOD – Manager on Duty (however on call 24/7 for emergencies by phone or in-person as needed)
SUPERVISORY RESPONSIBILITIES
- Establish, monitor, and enforce property’s operating policies and procedures.
- Supervise 3rd party Security staff, Parking staff, and Janitorial Staff
