A PROJECT COORDINATOR works with regional project teams and the accounting department to provide administration and coordination of projects. Excellent interpersonal communication, active listening skills and attention to detail are a must for success in this role. The right candidate must be resourceful, tech-savvy and possess an unmatched ability to organize, multi-task effectively and follow-through on competing priorities.

This position will be based out of our Brooklyn office, supporting NY projects in addition to half-time support of a remote project in Stowe, VT. Occasional travel to Stowe may be necessary once safe to do so.

Candidates with previous construction administration experience will be considered first.

RESPONSIBILITIES INCLUDE:

• Working with the Project Manager, enter subcontractor subcontract agreements (SA’s), subcontract agreement revisions (SARs), vendor agreement or vendor agreement revisions and into Sage as directed. Track and save copies of all executed documents in Sage and Sharefile.
• Ensure sub and vendor insurance compliance including tracking, requesting and reviewing insurance certificates
• Assist with collecting information for Vendor/subcontractor set up with W-9 collection for submission to Accounting
• Keep buy-out log up to date as subcontractors are hired for various scopes of work upon request of the Project Manager
• Assist with tracking and distribution of RFI’s and Submittals as requested by Project Manager
• Participate in internal project reviews when requested
• Assist with project closeout, including with the preparation of O&M manuals and collection of subcontractor warranties, as requested by the Project Manager

QUALIFICATIONS AND SKILLS:

• Bachelor’s degree in construction management, engineering or related field preferred but not required
• At least 1 year of experience within construction industry required
• Proficiency with MS Office 365
• Experience with web-based solutions such as Smartsheet, ShareFile, Slack and Asana is preferred
• Ability to read and understand plans, drawings and specifications, preferred
• General working knowledge of Sage 300 CRE (formerly Timberline) Project Manager Module – training to be provided
• Ability to maintain the highest ethical standards in all business relationships
• Knowledge of construction sequencing and best practices
• Ability to collaborate and build relationships with project teams that transcend a project
• Self-starter with the ability to prioritize workload and manage time effectively
• Detail-oriented and proactive problem solver
• Demonstrate discretion and treat all proprietary company information as strictly confidential outside (and in some cases inside) the company.
