Job Title: Education Administrative Specialist
Salary Range : $46,000 - $52,000 (based on experience) (full-time, on-campus)
Reports to: Student Programs Mgr./Public Programs Mgr.
MISSION: For more than 50 years, the Conservancy of Southwest Florida has been a leading environmental advocacy organization dedicated to protecting Southwest Florida's water, land, wildlife, and future.
PURPOSE OF JOB: The Education Administration Specialist acts as the primary contact point for education programs and is responsible for supporting the Education team and performing administrative tasks, including scheduling Learning Adventures Bus (LAB) events, supporting event registration, communicating with program participants, and using the Blackbaud Altru constituent relations system and Microsoft Office suite. The Education Administration Specialist is also responsible for participant tracking, accurate data entry, and data management in Altru and Microsoft Outlook.
RESPONSIBILITIES:
Logistical Support and Coordination:
• Serves as primary point of contact for logistical arrangements for LAB, school, and adult programs on and off campus.
• Schedule’s school outreach and out-of-school-time programs.
• Supports the Education Team in administering program, camp, and fundraiser events.
Meeting and Documentation:
• Attends Education Team meetings and records meeting minutes as required.
• Works with the Database Manager and Education Team managers to establish and document Altru event/program registration processes and procedures.
• Responsible for Education team records management to support various programs.
Data Management and Registration:
• Utilizes Blackbaud Altru to record all event/program registrations and maintain participant data.
• Other duties as assigned.
EDUCATION AND EXPERIENCE
• Five years of office support experience in business with working knowledge of general office procedures.
• Proficient in professional phone etiquette.
• Strong verbal and written communication skills, with proficient typing abilities.
• Conversational Spanish skills preferred.
• Familiarity with Microsoft Outlook/Teams preferred.
• Advanced Microsoft Office skills; ability to quickly learn new computer programs, experience with Altru and Raiser's Edge is advantageous.
• Proficiency in using office automation and the internet for information gathering and productivity.
• Highly organized and detail-oriented; capable of managing multiple projects in a fast-paced team environment.
• Self-motivated and effective working independently or as part of a team.
• Skilled in multitasking and prioritizing tasks.
• Flexible availability for nontraditional office hours.
• Interest in the mission of the Conservancy of Southwest Florida is a plus.
• Experience in a nonprofit environment is beneficial.
SKILLS AND ABILITIES
• Proficiency in reading and analyzing general business periodicals.
• Capable of composing reports, business correspondence, and procedure manuals.
• Effective presentation skills and the ability to respond to inquiries from diverse audiences, including managers, clients, customers, and the general public.
• Strong mathematical skills, including addition, subtraction, multiplication, and division with whole numbers, fractions, and decimals.
• Aptitude for calculating rates, ratios, and percentages and creating and interpreting bar graphs.
• Problem-solving skills for addressing practical issues in situations with limited standardization.
• Competence in interpreting written, oral, diagrammatic, or schedule-based instructions.
CERTIFICATES, LICENSES, AND REGISTRATIONS
• Valid driver's license and good driving record.
