As the field of interventional cardiology evolves to tackle one of society’s most pressing health challenges, medical professionals rely on the Society for Cardiovascular Angiography and Interventions (SCAI) for cutting-edge research, education, and training. As Education Coordinator, Conference Programs, you will play an essential role in planning and executing SCAI’s three flagship events, including SCAI Scientific Sessions, SCAI SHOCK, and Fellows Courses, along with regional meetings, webinars, and online educational programs throughout the year.
Reporting to the Assistant Director, Conference Programs and assisting key members of our Education, Publications, & Quality team, you will coordinate and manage event logistics, content, and speaker needs, building essential capacity for the team as we launch new programs and partnerships. This role offers an opportunity to take on a variety of event formats and scales, from focused workshops to large flagship conferences with thousands of attendees. Your work will include organizing event materials and signage, managing hotel rooming lists, coordinating temporary staffing needs, handling case and abstract submissions, delivering customer service to speakers, faculty, and attendees, and providing onsite event support. You will also contribute to year-round administrative functions, including data management, reporting, reimbursement, and compliance documentation.

- Effectively managing overlapping meeting schedules, coordinating with busy physicians, and ensuring timely communication while meeting strict deadlines for case and abstract submissions and conference deliverables.
- Delivering excellent customer service to speakers, faculty, and attendees.
- Working with increasing autonomy, managing responsibilities with minimal oversight, and successfully taking ownership of designated tasks from more senior team members.
- Accuracy in data entry and reporting, minimizing errors in critical processes.
Work Environment, Salary, and Benefits
- This is a fully remote position with a flexible schedule and occasional evening or weekend hours. You’ll travel approximately 6 weekends a year for events, with additional travel for SCAI staff retreats held during the week.

Responsibilities
Educational Programming
- Under the guidance of the Assistant Director, Conference Programs, coordinate faculty invitation process, follow-up, and replacements as needed.
- Manage communication for faculty@scai.org mailbox, providing customer service support to faculty in advance of the meeting and assisting in the speaker-ready room onsite to facilitate speaker changes.
- Input program details into the online event management software for satellites, workshops, and sessions as needed.
- Assist with the coordination of the call for science process for Scientific Sessions, Fellows, and SHOCK.
- Track abstract submissions, send reminders, and report status to the full project team.
- Manage communications across multiple inboxes, providing timely customer service for submitters, reviewers, and other stakeholders regarding scientific submissions.
- Under the guidance of the Assistant Director of Education, coordinate with the industry team on SCAI-sponsored satellite session details for flagship meetings. This may include updating templates, proofing educational materials, running and interpreting reports, and inputting information into the meeting management database and other tracking forms.
- Accurately input learner numbers and financial data to external databases.
- Assist with documenting compliance for accredited continuing education for SCAI CME activities. Provide onsite faculty and peer review support.
- Process travel reimbursements and honoraria for faculty and attendees.
Meeting Logistics
- Support the Director of Meetings in necessary aspects of planning for flagship and regional meetings.
- Coordinate onsite staff needs for temporary personnel for two flagship meetings and serve as the primary point of contact for temps onsite.
- Assist in the preparation of materials related to the various meetings and coordinate all signage.
- Provide administrative support for hotel rooming lists and reports. Monitor attendee room block and cross-check with registration on a regular basis.
- Assist the Director of Meetings in the onsite execution of event flow, including F&B, service requests, staff scheduling, etc.
- Oversee the future meetings calendar.
Qualifications
- 1–3 years of experience in meeting or event logistics supporting medium to large-scale events (ranging from hundreds to several thousand attendees). Association experience is preferred.
- Proven project management skills, with the ability to manage multiple projects simultaneously in a deadline-driven environment.
- Excellent written and verbal communication skills, with the ability to build and maintain productive relationships while providing high-quality support to stakeholders.
