The Education Secretary communicates with staff regarding computers, report writing, filing, etc. The Education Secretary provides office support for the Education Director and teaching staff. Maintains accurate up-to-date database of all teaching staff licensures. Maintains Student Handbook, Parent Handbook, and Hallmark Policies and Procedures. Maintains accurate up-to-date database of all students (current and former). Maintains accurate departmental filing system. Responds appropriately to correspondence, prepares reports as directed, and performs related follow-up activities as needed. The Education secretary is responsible for processing all incoming and outgoing mail. Supervises the breaking down and filing of discharged students’ records. The schedule of the Administrative Secretary-Education is flexible, depending on the need of the Academy. Stays abreast of software changes. Develops and maintains a consistent format for computerized processes and documents. Creates user-friendly macros, templates, forms and toolbars for the Education Department staff. Assists the Education Director with filing, typing correspondence, taking notes, scheduling appointments, creating files on new students, and making travel arrangements. Works professionally and collaboratively with all education department staff. Maintains physical upkeep of the office, orders supplies, maintains inventory of classroom texts/supplies, coordinates staff in-services/trainings, and assists teachers with IEP correspondence/school reports. Provides student information when requested.
Demonstrates understanding of and ability to implement the Sanctuary Model and its trauma-informed approach to services for residents and their families, the seven commitments, and the tools of the model including Red Flag meetings, Treatment Team Meetings, the SELF paradigm, safety plans and community meetings. Attends community meetings daily.
Ensure compliance with all regulatory and accrediting agencies. Maintains CPR/First Aid/AED and Handle with Care certifications. Maintains strict confidentiality and privacy of residents’ personally identifiable health and personnel information in accordance with HIPAA privacy rules and facility policies. Meets mandatory staff development requirements per the standards of all regulatory and accrediting agencies.
