Department: People Team
The Payroll and Benefits Manager provides a complete Payroll and Benefits expert service to the Operations, shop and Support Center teams. Their key areas of focus are:
To ensure the US population are paid accurately and on time. They manage the payroll process and are an expert in the R365/APS system. They advise Managers on the management of the R365/APS system to ensure the accurate and timely processing of TM’s and Shop Managers payroll and benefits. A key focus of this role is improving the payroll process and ensuring compliance in all areas of payroll.
Own the benchmark process of Empire Jointstar benefits against competitors and propose changes that are relevant to each employee level within Empire Jointstar.
Payroll
Managing the process from start to end for all Pay & Performance review cycles and bonus payments, including timelines and any relevant administration
Ensure payroll is run in accordance with both legal compliance and to Empire Jointstar policy
Manage the safe running of both weekly & bi-weekly payrolls for over 700 employees
Responsible for the upkeep and integrity of payroll records
Ensure all shop managers are aware of their payroll and labor responsibilities
Liaise with the HR Business Partner on the need for system training as well as any system updates to cater for any legislation changes
Has a pro-active approach to improving the payroll process and system, making life easier for shops and the payroll team
Work closely with Finance to ensure fluidity with process and systems
Keep informed of legislation changes that affect Payroll
Ensure Payroll helpdesk tickets are responded to in a timely manner
Benefits
Responsible for all Empire Jointstar benefit plans, including the development and improvement of the plans as well as its communication and roll out
Ensure that the team liaison with benefits broker/providers on all benefit queries and issues are solved in a timely matter
Manage the annual benefit open enrollment process
Support the review of current benefits and the proposal of changes
Be the first point of contact for Empire Jointstar benefit queries
Scheduling and Compliance
Monitor the auditing of employee schedules against timesheet to ensure the legislation is followed accordingly and keep Pret compliant
Ensure schedule changes fees are applied correctly and paid to relevant employees in a timely manner
Monitor schedule changes and ensure that the team reports on number of changes and fees paid
Monitor the overall pay compliance, including records auditing and employee’s training/communication
Complete yearly EEOC reporting with the support of the People Team
Ensure the data is maintained to ensure 1095C forms are issued correctly to all relevant employees. Managed the annual process beginning to end.
Support on Payroll system training as and when needed
Ensure People reports are updated as and when needed by the team
Essential Skills/Knowledge:
Excellent verbal and written communication
Excellent understanding of employment and payroll legislation and its practical implementation
Ability to build up positive relationships with people from all areas of Empire Jointstar
Influencing skills
Ability to balance legal requirements with a business and people focused approach, kept simple, which is meaningful for people at Empire Jointstar
Ability to deal appropriately with confidential information
Payroll Management experience
Ability to build effective relationships with people in all areas of the business
Knowledge in payroll laws in New York, Philadelphia, Washington DC and California
Knowledge of Fair Work Week laws and R365 system is a plus
Additional Information:
Travel between the Pret US markets may be necessary from time to time
