Estimating Assistant
The Estimating Assistant will play a key role in assisting the estimating team by providing administrative support, organizing documentation, and ensuring smooth communication between departments. This position requires an individual with strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Estimating Secretary will be responsible for maintaining accurate records, scheduling meetings, preparing reports, and supporting the team in estimating demolition projects.

A typical day looks like:
- Assist the estimating team with organizing and maintaining project files, including blueprints, project specifications, and cost estimates.
- Prepare and format proposal documents, bid packages, and pre-qualification materials for industrial demolition projects.
- Maintain and track project timelines, deadlines, and key deliverables for estimates and bids.
- Communicate with subcontractors, suppliers, and clients to gather information and obtain quotes for project estimates.
- Prepare and update cost databases and assist with compiling cost data for demolition work.
- Coordinate and schedule meetings between estimators, project managers, and other team members.
- Handle incoming phone calls, emails, and correspondence related to project estimates and proposals.
- Prepare and distribute internal reports related to bidding activity, project status, and team needs.
- Ensure all estimating documents are filed, organized, and accessible to team members as needed.
- Assist in reviewing and preparing subcontractor and supplier contracts and ensuring compliance with project specifications.
- Support the team with administrative duties such as data entry, document preparation, and other office tasks as needed.
Do you have what it takes?
- High school diploma or equivalent; Associates degree or relevant certification preferred.
- 2+ years of administrative experience, preferably in the construction, demolition, or related industries.
- Basic understanding of the demolition process and industrial construction terminology is a plus.
- Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with construction-related software or estimating tools.
- Excellent written and verbal communication skills.
- Detail-oriented and able to maintain accurate and organized records.
- Ability to work well independently and as part of a team.
- Strong problem-solving skills and the ability to handle confidential information with discretion.
- Preferred experience working in the demolition, construction, or industrial sectors.
- Preferred familiarity with estimating software and bid preparation.
- Preferred Basic knowledge of safety regulations and industry standards for demolition projects
