    Job Purpose

    The Estimating Coordinator is responsible for providing essential administrative support to the Estimating Team in the preparation of bids and proposals for ground-up construction and tenant improvement projects. This role ensures the timely and accurate compilation of all necessary components for new project estimates, facilitating smooth workflow and organization within the estimating process.


    Responsibilities

    • Project Documentation Management: Organize and electronically file all bid documents, including project plans, specifications, exhibits, and subcontractor bids, within the Bid File system.

    • Bid Package Coordination: Collaborate with the Estimating Team to create and distribute bid packages in the PVC Bid Invite system, "Building Connected," ensuring accurate trade-specific postings.

    • Subcontractor & Vendor Outreach: Identify and solicit bids from potential subcontractors and vendors within designated regions to ensure competitive pricing and comprehensive project coverage.

    • Bid Process Support: Transfer Scopes of Work into required bid packages, communicate bid availability to contractors, and follow up with subcontractors, suppliers, and architects for necessary information.

    • Meeting Participation & Database Maintenance: Attend construction team meetings with Estimators, take notes for follow-up, and update the supplier and subcontractor directory with the latest contact information.


    Requirements

    • Education: High school diploma, GED, or a one-year college certificate required.
    • Construction Estimating Experience: Minimum of one year of experience providing estimating support in a commercial construction environment.
    • Administrative Skills: Strong organizational and document management skills to maintain bid files and project records.
    • Communication Abilities: Effective verbal and written communication skills to coordinate with subcontractors, suppliers, and internal teams.
    • Attention to Detail: Ability to accurately compile, review, and process bid documents to support the estimating process.
