As an Events Coordinator, you will be responsible for planning, organizing, and executing events from start to finish. You’ll work closely with internal teams, vendors, and clients to ensure each event runs smoothly and aligns with the company’s brand and objectives. Your creativity, organizational skills, and attention to detail will help us deliver top-notch events that leave a lasting impression.
Key Responsibilities:
Event Planning & Execution: Plan, coordinate, and execute a variety of events, including corporate functions, conferences, trade shows, product launches, and social gatherings.
Vendor Management: Source and manage relationships with vendors (caterers, decorators, AV providers, etc.) to ensure all aspects of the event meet quality and budget expectations.
Budget Management: Create, monitor, and manage event budgets to ensure projects are completed within financial guidelines.
Logistics Coordination: Organize event logistics, including booking venues, arranging transportation, coordinating schedules, and securing necessary permits.
Marketing & Promotion: Work with marketing teams to promote events, manage invitations, and coordinate social media or email campaigns related to the events.
Client & Stakeholder Liaison: Act as the main point of contact for clients, attendees, and stakeholders throughout the event process, ensuring all needs are met.
Event Setup & Breakdown: Oversee the setup and teardown of event spaces, ensuring everything is in place before guests arrive and properly handled after the event.
On-Site Management: Be on-site during events to troubleshoot issues, manage staff, and ensure the event runs smoothly.
Post-Event Evaluation: Collect feedback, analyze outcomes, and make recommendations for improvements to future events.
Qualifications:
Education: Bachelor’s degree in Event Management, Marketing, Hospitality, or related field (preferred but not required).
Experience: Proven experience in event coordination or a similar role (1-2 years preferred).
Skills:
Strong organizational and project management skills with the ability to manage multiple tasks simultaneously.
Excellent communication and interpersonal skills.
Creativity and attention to detail.
Ability to work under pressure and meet tight deadlines.
Proficiency in event management software (e.g., Eventbrite, Cvent) and Microsoft Office Suite (Word, Excel, PowerPoint).
Flexibility: Ability to work irregular hours, including evenings and weekends, as required by event schedules.
Problem-Solving: Quick thinking and the ability to troubleshoot issues as they arise during the event.
