PURPOSE
This role will be responsible for serving as the ambassador and representative of our brand, ensuring a warm environment, and leaving a lasting impression of our brand. The primary focus of this position involves coordinating four major corporate events annually, with each event occurring once per quarter throughout the year. Additionally, this role is responsible for ongoing HQ office administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Efficiently coordinate registration processes for events, ensuring accuracy and smooth operations.
Organize and manage room assignments, optimizing logistics for attendees.
Develop and maintain detailed project plans to ensure timely execution of all event-related tasks.
Ensure adherence to financial guidelines throughout the event planning and execution process.
Oversee coordination of venue food and beverage services, prioritizing quality and attendee satisfaction.
Effectively manage meeting spaces to meet the requirements of each event.
Procure and coordinate audio/visual equipment to ensure seamless operations during events.
Collaborate with suppliers to procure necessary materials and services essential for event execution.
Coordinate arrangements for speakers and VIP guests, ensuring their needs are met with precision.
Plan and implement security and safety measures to protect event attendees and assets.
Generate comprehensive reports that detail event outcomes and metrics accurately.
Develop and execute marketing strategies to effectively promote events and maximize attendance.
Ensure the HQ office is always “TV ready.”
Organize and facilitate office meetings, ensuring efficient and productive proceedings.
Fulfill additional responsibilities as delegated by management to support overall operational goals.
