Role We are seeking an Import Export Documentation Executive to champion the growth of Vadilal Ice Creams across the American market. This role encompasses the management of all imports and exports shipments, documentation, as per the law of the land and contributes to timely and cost-effective movement of goods and plays an active role in market expansion initiatives. Key Responsibilities Documentation and Compliance: • Manage all imports and exports shipments of the company • Prepare and review all necessary export and import documentation, including bills of lading, packing lists, invoices, and certificates of origin. • Ensure compliance with international import and export trade laws, regulations & procedures. • Maintain updated knowledge of customs regulations, tariffs, and other trade barriers. Shipment Coordination: • Coordinate with suppliers, shipping lines, freight forwarders, and customs brokers to ensure timely and cost-effective shipment of goods. • Arrange for transportation of goods from port to warehouse and monitor & track shipments to ensure timely delivery to warehouse. • Manage shipments of interstate truck loads Record Keeping: • Maintain accurate records of all export and import transactions. • Ensure proper filing and storage of all shipping and customs documentation. • Manage customs brokers to ensure entries and HTS codes are accurate. Cost Management: • Negotiate rates with shipping lines and freight forwarders to ensure competitive pricing. • Monitor and control shipping costs to stay within budget. • Monitor duties and ensure most appropriate HTS codes are applied for duties. Process Improvement: • Identify areas for process improvement and implement changes to enhance efficiency and reduce costs. • Stay updated with industry best practices and new technologies in logistics and international trade.
Vendor Management • Keep a list of freight forwarders and drayage carriers. Other • Perform additional duties as assigned periodically. Qualifications: • Bachelor’s degree in Logistics, Supply Chain Management, International Trade, or related field. • Minimum of 4-7 years of experience in export/import operations. • Strong knowledge of international trade regulations, customs procedures, and shipping documentation. • Proficient in Microsoft Office Suite and experience with SAP. • Excellent communication and negotiation skills. • Strong organizational skills and attention to detail. • Ability to work independently and as part of a team. • Certification in International Trade or Logistics (e.g., Certified International Trade Professional) is a plus.
