    Job Description

    The Executive Assistant is responsible for supporting the Chief Financial Officer of NBCUniversal. This position requires the utmost of confidentiality and professionalism along with the ability to interact with other senior executives and their assistants on a regular basis. This role is based in NBCUniversal’s iconic New York office at 30 Rockefeller Plaza.

    What you'll do:

    • Arranging and scheduling numerous meetings involving executives at all levels; maintain and update calendar; developing and maintaining relationships with executive assistants throughout the company; demonstrating flexibility, patience, and persistence in routinely rescheduling meetings.
    • Answering phones professionally and taking messages as required.
    • Maintaining strict confidentiality and professionalism along with a positive attitude.
    • Coordinating staff meetings, conferences, and client meetings as necessary.
    • Arranging complex logistics for multiple-attendee and multiple-location meetings (presentation set-ups); Coordinating audio/visual, catering, and other needs for critical meetings.
    • Preparing executive presentations as directed, including both electronic and hard copy files.
    • Arranging travel and all accommodations including comprehensive and detailed itineraries.
    • Preparing and processing expense reports and reconciliations in accordance with Company policy guidelines.
    • Processing all invoices, setting up new vendors, and managing all payments to external partners.
    • Handling general office and administrative tasks, including the ordering of miscellaneous supplies.
    • Managing administrative and coordination aspects of special projects as designated including planning and organizing internal events.
    • Assisting with internal communications with staff and the broader Finance organization.
    • Establishing and maintaining positive relationships with internal and external partners.
    • Researching and assisting with additional projects as required
  • Qualifications

    What you'll need:

    • Bachelor’s degree and five years of experience working in a corporate environment supporting senior executives, or an equivalent combination of education and experience.
    • Proven expertise with Word, Excel, PowerPoint
    • Ability to successfully multi-task and meet deadlines

    Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

    This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
