    Job Description

    We are seeking a highly organized, detail-oriented, and proactive Executive Administrator to provide exceptional support to the CEO and Director of HR. This dynamic role blends traditional executive administrative responsibilities with HR-related tasks, playing a pivotal role in the smooth functioning of the organization.     Key Responsibilities:

    Executive Support (CEO):

    • Manage the CEO’s calendar with precision, prioritizing and scheduling meetings, appointments, and events to maximize productivity.

    • Prepare detailed agendas, compile background materials, and ensure the CEO is well prepared for all meetings and presentations.

    • Act as a trusted liaison, managing correspondence, filtering communications and handling sensitive information.

    • Oversee travel arrangements, including booking flights, accommodations, transportation, and creating detailed itineraries.

    • Track, manage, and reconcile expense reports for the CEO ensuring accuracy and timely submission.

    • Coordinate and execute special projects, conducting research, preparing reports and presenting findings to support strategic initiatives.

    • Assist in managing board meetings, including preparing materials, and tracking follow-up items.

    • Support the CEO in driving company-wide initiatives, including organizing all-hands meetings, leadership-off sites, and cultural events.

    Administrative Support (HR):

    • Partner with the Director of HR to facilitate recruitment efforts, including sourcing candidates, managing job postings, and coordinating interviews.

    • Assist in onboarding new hires, ensuring seamless integration into the organization, including ordering equipment, scheduling orientations, and preparing paperwork.

    • Support offboarding processes, including scheduling exit interviews, collecting assets, and ensuring accurate record updates.

    • Help maintain and update employee records and HR systems with a focus on confidentiality and accuracy.

    • Coordinate employee training, performance review processes, and HR-related meetings.

    • Organize and assist in executing company events such as team building activities, training sessions, and celebrations.

    General Administrative Tasks:

    • Serve as the primary point of contact for the CEO, ensuring timely and professional responses to internal and external inquiries.

    • Manage office supplies and coordinate with vendors to ensure office operations run smoothly.

    • Prepare and distribute internal communications and announcements as needed.

    • Organize meeting spaces, ensuring all required materials and technology are ready and operational.

  • Qualifications

    Qualifications

    • Education: Bachelor’s Degree in Business Administration, Human Resources, or a related field.

    • Experience:

      • 3+ years of experience in an executive administrative or HR support role.

      • Proven experience in supporting multiple leaders or executives simultaneously.

    • Proficiency in Microsoft Office Suite (Work, Excel, PowerPoint) and ATS platforms.

    • Exceptional written and verbal communication skills, with the ability to craft clear and concise correspondence and reports.

    • Strong organizational and multitasking abilities, with a keen attention to detail and deadlines.

    • Ability to handle sensitive and confidential information with the utmost discretion and professionalism.

    Preferred Qualifications:

    • Experience supporting executives in a fast-paced, startup-like environment.

    • Project management skills and event coordination experience.
