The Executive Assistant will provide high-level administrative support to the CEO and other members of the Leadership. Reporting directly to the CEO, the Executive Assistant provides a high-level of support in a one-on-one working relationship handling a wide range of administrative, organizational, and communication tasks. The Executive Assistant also serves as a liaison to the Board of Directors and Leadership Team; organizes and coordinates executive outreach and external relations efforts and oversees special projects. This role is pivotal to ensuring the efficient operation of the CEO’s office, and a successful candidate will possess excellent organizational skills, discretion, and the ability to manage multiple projects and priorities. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment.
ROLE OBJECTIVE:
· Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
KEY RESPONSIBILITIES:
· Executive Support
o Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
o Provide high-level administrative support to the CEO by managing their calendar, scheduling meetings, and prioritizing appointments as priorities shift
o Prepare materials for meetings, coordinate presentations and reports, and ensure the CEO is well-prepared for all engagements
o Handle confidential and sensitive information with discretion and professionalism
o Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
o Organize travel arrangements, including flights, accommodations, and itineraries, for both domestic and international trips
o Submit monthly expense reports on behalf the CEO for both his American Express credit card and his AT&T phone bills
o Coordinate weekly calls with the full Leadership Team and additional calls/requests, as needed.
o Review and maintain CEO’s inbox and ongoing action item list on a daily basis
o Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
o Complete adhoc projects as assigned – such as personal events and/or family needs.
· Project Management
o Assist the CEO with strategic projects, including tracking progress, timelines, and deliverables
o Coordinate with other departments, committees, and stakeholders to ensure projects are on track and deliverables are met
o Help management and prioritize key initiatives related to the organization’s success
· Meeting and Event Coordination
o Organize and manage internal and external meetings, conferences, and events, including logistics, agendas, and attendee coordination
o Take minutes during Board and Board Committee meetings, ensuring accurate documents and follow-up on action items, to be reviewed by General Counsel
o Ensure all meeting materials are prepared in advance and distributed to relevant parties
· Communication and Liaison:
o Serve as key point of contact for internal and external stakeholders, representing the CEO with professionalism and courtesy
o Maintain positive relationships with Board Members, Senior Leadership, staff, and external parties
SKILLS AND QUALIFICATIONS:
· Bachelor's degree required
· 5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
· Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Slack, Signal, and Causeway.
· Excellent communication and time management skills; proven ability to meet deadlines.
· Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
· Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
· Somewhat flexible hours as dictated by the needs of business for projects and meetings.
