    Executive Alliance is pleased to represent our Garden City, N.Y.-based client who are a private equity fund management company that manages a diversified group of manufacturing, distribution, industrial technology and specialty infrastructure companies throughout the U.S. They are a highly reputable company with 60 employees that oversees $2 billion in assets and have been in business for over 30 years.

    They are seeking a PAYROLL & BENEFITS ADMINISTRATOR to oversee administration services for two corporate entities and for four households.

    They are seeking a PAYROLL & BENEFITS ADMINISTRATOR to oversee administration services for two corporate entities and for four households.

    NOTE: THIS IS A HYBRID OPPORTUNITY WITH FOUR (4) DAYS PRESENCE AT COMPANY HQ IN GARDEN CITY, NY AND ONE (1) DAY REMOTE.

    PAYROLL:

    • Entering hourly data, making changes where necessary, updating wages/deductions when need be.
    • Online processing through Paychex for: 2 corporations (semi-monthly - total of about 60 employees between both; about 30 each), (NY and CA) and 4 households, 1 of which is an LLC (weekly – total of about 25 employees between all households) (NY, DC, NJ, MA)

    • Includes:

    o Semi-monthly reporting of 401K contributions to Schwab through USI, as well as new and terminated employee during the year, reconciliation of annual contributions, Annual reconciliation, and reporting to USI

    o Providing new corporate employees with appropriate forms and information for enrollment as well as forms and information for benefits. i.e., payroll run reports to coworkers, analysis reporting where required, annual reconciliation of Paychex totals to the general ledgers.

    o Defined Benefit Pension Plan (no longer active): responding to questions to employees vested in the plan, filing for benefits when employees retire through USI.

    o Maintaining Payroll files for each employee.

    BENEFITS:

    • Corporate medical, dental, LTD, ADD and Life: maintenance (employee changes) and annual updating of policies with employees. Maintaining Benefit files, updating benefits when there is a change in employee dependents. COBRA administration
    • Household medical dental, COBRA administration
    • Maintaining Transitchek supply and distribution as well as control.
    • Flexible Spending administrated through Paychex, employee maintained, however, at times may need to be involved in enrollment or claim processing.
    • Monthly schedule breaking down by company/departments monthly benefit amounts.
    • Updating of new employee Benefit Information Summary based on new year, or changes in the policy (401K limitations, SS/Medicare wage limitations, changes in medical/dental/LTD, ADD or LTD policies)
    • Helping an employee with their benefits whether 401k, health insurance, or a workers’ comp. or disability claims

    ADDITIONAL BENEFITS /INSURANCES

    • Filing of workers comp claims, paying annual workers’ comp annual premium, responding to audit request, analysis and remit any additional money due after analyzing the correctness of the audit.
    • Filing of Disability claims, annual audit and remittance of estimated insurance premium for the year annually for all companies

    MISCELLANEOUS

    • Responding to employee request regarding letters of employment, etc.
    • Maintenance of employee vacation schedule, this should be switched to online Paychex program
    • Reconciliation of Defined Pension Plan distributions and withholding, Preparation of 1099R through Yearli, filing of form 945, copies to Tax Director and USI. Confirming continuation of benefits to pension recipients.
    • Annual filing of 1095C and 1094, distribution to employees
    • Continuous updating of USI semi-monthly schedule, UHC, Dental and Lincoln insurances for changes in address and status of current and past employees.
